Project Coordinator

Our projects span the automotive, motorsports, defense, nuclear, and aerospace markets. We are looking for a Mid-Level Project Coordinator to support projects ranging from small studies to multi-million dollar turn-key supply. A successful candidate must be team-oriented, organized, able to communicate to all levels of the organization, and meet deadlines in a fast-paced environment. Candidate will assist project team members and provides guidance and recommendations. Duties include assisting project team by coordinating various deliverables relating to workflow planning, scheduling, estimating, scope gathering, contracting, installation and delivery, turnover, and general project communications. Candidate will assist project managers on various sized projects but typically larger, longer duration projects. On occasion controls use of company resources within project scope as project manager, those projects typically are within hundred thousand dollars ($100,000) in design procure cost or 500 hours of professional services. A. FUNCTION OF POSITION Responsible for assisting project managers on capital expenditure engineering and construction projects including coordinating scheduling, cost estimating, procurement, change management, and interfacing with internal team, customers, and suppliers. On occasion may be asked to manage small projects of limited scope/cost. Considers multiple perspectives to identify different solutions. Assists others in resolving issues based on existing solutions and procedures. B. DUTIES AND RESPONSIBILTIES 1. Supports project managers by gathering project deliverable information and working with team members to coordinate workflows and codify project scheduling activities. 2. Supports project managers with team communications, project planning, specifications and requirement criteria identification, and gathering cost and schedule estimates; assists in development of new business opportunities. 3. Works independently with guidance in only the most complex or technical situations. 4. Tracks progress of project work and resource usage, informs project managers of problem areas, and recommends corrective action, as needed. Assists project manager with Client-side project tracking deliverables. Works with team member to gather business information such as ETCs and change request estimates and pricing. 5. Understands the procurement process and assists project managers with vetting potential suppliers, coordinating the bidding process, assisting with the issuance of contracts to subcontractors and major vendors, coordinating change orders and provides feedback on supplier business performance. 6. Provide feedback on management processes and supports project and process quality audits. 7. Assists as needed with the tracking and disposition of non-conforming products. 8. Mentoring other project coordination and project controls professionals. 9. Adept at communicating with customers, internal resources and functional groups, and external suppliers to ensure project success. 10. Manage projects of limited scope within contractual cost and schedule guidelines; reviews output/documentation/deliverables for adequacy of quality and quantity. 11. Performs other related duties as required. C. NATURE OF POSITION CHALLENGES Assists in solving project delivery or process problems, develops ideas and recommends corrective actions. Flexible in assignments working to address needs of the specific project and client. D. SUPERVISORY GUIDANCE Receives specific instructions regarding deadlines, priorities, and limits of authority; progress with specific projects will be reviewed frequently by higher management. Requires comprehensive depth and/or breadth of expertise in capital expenditure project processes and organizational management including but not limited marketing process, design process, procurement process, fabrication and installation process and turnover process. Familiar with contracting specifications processes and how to assemble procurement packages based upon AIA MasterSpec or USG SpecsIntact. Able to gather information from various sources and condense it into useful and measurable project workflows and/or deliverables. Familiar with project scheduling tools such as Microsoft Project, procurement processes and project management tools - PeopleSoft experience desired but not required. Able to communicate well both in person and virtually over platforms such as MS Team. BS or BA degree from an accredited university and a minimum of five (5) years of technical project experience, or a MS degree from an accredited university and a minimum of four (4) years of technical project experience, or PHD from an accredited university and a minimum of two (2) years of related technical project experience. Demonstrated performance on assignments of increasing responsibility.
