The University of Miami/UHealth Department of SCCC has an exciting opportunity for a Full Time Project Coordinator (Believe in You Initiative) to work at the UHealth Medical campus in Miami, FL
CORE JOB SUMMARYThe Project Coordinator organizes project activities to ensure projects are on schedule. This role provides administrative and logistical support including meeting arrangement, progress tracking, and documentation. Inaddition, this job also prepares comprehensive action plans that detail available resources, timeframes and budgets for projects.
CORE JOB FUNCTIONS
+ Assists with the assignment of tasks to internal teams to include schedule management.
+ Assists with budget preparation and tracks all project related expenditures.
+ Monitors project progress and addresses any issues that arise.
+ Assists with the identification of completion shortfalls.
+ Acts as the point of contact and communicates the project status to relevant stakeholders.
+ Communicates timeline changes and new information to project team.
+ Creates and maintains comprehensive project documentation, plans and reports.
+ Ensures all needed documentation is current and properly filed and stored.
+ Ensures adherence to standards and requirements by reviewing project objectives against deliverables.
+ Organizes, attends and participates in project meetings.
+ Prepares necessary presentation materials for project meetings.
+ Records minutes and takes detailed notes during meetings.
+ Adheres to University and unit-level policy and procedures and safeguards University assets.

CORE QUALIFICATIONS
Education:
Bachelor’s Degree in relevant field required
Experience:
Minimum 1 year of relevant experience. Any relevant education, certifications and/or work experience may be considered.
Knowledge, Skills and Attitudes:
+ Ability to communicate effectively in both oral and written form.
+ Ability to maintain effective interpersonal relationships.
+ Ability to work independently and/or in a collaborative environment.
+ Ability to accurately prepare and maintain records, files, reports and correspondence.

Department Specific Functions
We are seeking a highly motivated Project Coordinator to support multiple lifestyle medicine programs at Sylvester Comprehensive Cancer Center. This role is essential for the smooth execution of program protocols, data management, and community outreach initiatives. The Project Coordinator will work closely with multidisciplinary teams to ensure all program objectives are met and maintained at the highest standards.
Key Responsibilities:
+ Assist in the development of program recruitment and participant materials, including flyers, brochures, and handbooks using software such as Adobe and Microsoft Office.
+ Coordinate participant data collection as part of the program protocol and maintain strict adherence to study procedures.
+ Plan and coordinate promotional, educational, and outreach events to enhance community engagement and awareness.
+ Conduct research and prepare reports, records, and other documents for public and outreach programs.
+ Maintain effective communication with current and prospective program participants, ensuring program goals and objectives are met.
+ Promote services offered to target populations and support recruitment efforts.
+ Assist in report preparation, including tracking recruitment progress, refusals, exclusions, and other key data points.
+ Serve as a liaison between key personnel across institutions, facilitating communication and collaboration with the main study site.
+ Maintain detailed records of program results, including collecting, extracting, and entering data, and preparing basic charts and graphs.
+ Conduct scientific literature searches to support ongoing research activities.
+ Process reimbursements for participant travel expenses and monitor the distribution of participant incentives.
+ Assist in processing invoices and purchase requisitions to ensure smooth program operation.
Qualifications:
+ Bachelor’s degree in a related field (e.g., public health, health sciences, business, etc.).
+ Experience in project coordination, program management, or research administration.
+ Proficiency with Microsoft Office Suite and Adobe software.
+ Strong communication skills with the ability to work effectively across teams and with diverse populations.
+ Excellent organizational skills and attention to detail.
+ Ability to manage multiple tasks and priorities in a fast-paced environment.
+ Experience with data entry, record-keeping, and basic data analysis.
+ Knowledge of lifestyle medicine, public health, or community health promotion is preferred.
