Job Description
We are seeking a motivated and detail-oriented Project Coordinator to join our team. The ideal candidate will process job work orders and purchase orders, coordinate with the Project Manager and scheduling team, and manage various administrative tasks. This position is perfect for someone who enjoys a steady and consistent role with multiple moving parts.
ResponsibilitiesProcess job work orders and purchase orders, and communicate follow-ups with customersWork with the Project Manager and scheduling team to resolve customer issuesCoordinate with the warehouse to manage the delivery of services and productsHandle all changes made to purchase ordersProcess change orders from job sitesTrack and communicate job site issuesProcess post-installation summaries from on-site teams and follow up as necessaryProvide accurate, valid, and complete information using the appropriate methods and toolsMaintain records of customer interactions, process, and close customer accounts, and file documentsFollow communication procedures, guidelines, and policiesServe as the intermediary between the Project Manager and installersSet up team meetingsProduce job summaries and daily reports for Project Managers and SalesUtilize MS Word and MS Excel on a daily basisUse QuickBooks to process purchase orders and track ordersProcess requests with ExpeditersPull files and gather information for Project Managers and customersProvide administrative, clerical, customer service, and front desk support as neededEssential Skills5-7 years of experience in an administrative or coordinator role, preferably within construction trades (e.g., carpentry, HVAC, painting)Proficiency in MS Office, particularly MS Excel at a basic levelHigh School Diploma or GEDExperience with QuickBooksStrong organizational and multitasking skillsAbility to prioritize and manage time effectivelyExcellent written and verbal communication skillsSelf-starter capable of working with minimal supervisionAdditional Skills & QualificationsExperience in the furniture, hardware, or distribution industriesExperience with project management or project coordinationThick skin and the ability to handle high-pressure environmentsDetail-oriented and deadline-drivenWork Environment
The work environment is a small, family-owned office with about three team members, located near a warehouse area. The office can be loud due to its proximity to the warehouse, and it includes individual cubes and filing cabinets. The company is looking to modernize its database. The office may move to a new location within 5-10 minutes of the current site by 2026. The dress code is casual but professional.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
