Description We are offering a contract to permanent employment opportunity for a Project Coordinator role in Santa Monica, California. This role primarily functions within the industry, where you will be tasked with an array of responsibilities ranging from project support to administrative duties.
Responsibilities:
• Manage the end-to-end support for projects, including planning and coordination of meetings with all necessary stakeholders.
• Generate presentation materials as needed.
• Transcribe, organize, and distribute meeting minutes to all project team members in a timely manner.
• Utilize Smartsheet for maintaining project plans, documenting, and proactively following up on all action items and decisions to drive projects forward.
• Regularly prepare and distribute reports as needed.
• Assist in end-user testing by circulating test scripts, consolidating feedback, aiding with report validation, and maintaining issue logs.
• Organize and manage all project materials, directing team members to resources and providing clear guidance as necessary.
• Ensure all project deliverables align with stakeholder objectives, including effective and accurate internal communications, and creation of supplemental materials such as job aids and user guides.
• Attend internal project kick-off meetings and other project meetings as assigned.
• Provide administrative support to stakeholders as needed, including occasional data entry, document formatting, and preparing correspondence. Requirements • Proficiency in Microsoft Office Suite, including Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word
• Strong customer service skills, with the ability to effectively communicate and collaborate with diverse stakeholders
• Demonstrated experience in data entry, with a keen attention to detail and accuracy
• Ability to manage project timelines efficiently and effectively, ensuring deadlines are met
• Proven experience in organizing and managing files, both digital and physical
• Skilled in operating scanning equipment and handling scanning tasks
• Familiarity with shipping functions, including packing, labeling, and tracking shipments
• Excellent organizational and multitasking abilities, with a focus on delivering quality outcomes
• Strong problem-solving skills and the ability to work well under pressure
