We are seeking a Project Coordinator – Executive Assistant to support one of our senior IT executives and his leadership team. This is a role for a proactive professional to partner with the executive and provide the highest level of executive support.
Responsibilities include:
• Manage multiple complex calendars with rapidly changing priorities.
• Prepare and coordinate documentation including agenda, minutes, presentations, and other types of communications.
• Make and monitor travel arrangements including transportation, lodging, meals, and other expenses.
• Manage expense tracking and reimbursement.
• Keep track of departmental activities and communicate accordingly.
• Prepare and manage reports including for expenses, budgets, and other financial information.
• Prepare communications, create presentations, and manage documents
• Coordinate meetings, training, events and similar activities including individuals within and outside of Montefiore Einstein.
• Utilize discretion and judgement in handling and protecting highly confidential information.
• Keep informed of departmental/division activities, transmitting information, developing, implementing and interpreting policies and procedures and supporting day to day operations.
• Provide back-up to support to peers when needed.
Requirements include:
• 4+ years of experience supporting C-suite executives in an enterprise corporation including managing multiple complex calendars, triaging changing priorities, and balancing concurrent tasks.
• Intermediate to advanced MS Office skills (Outlook, Word, Excel, PowerPoint).
• Experience using multiple applications and technology tools.
• Learning mindset.
• Excellent communications, interpersonal, and presentation skills.
• Excellent follow-up skills.
• Demonstrated background in safeguarding and managing the transmission of highly confidential information.
• Highly detail oriented to ensure accuracy in all communications.
• Respond quickly to requests including outside traditional working hours when needed.
Desired:
• MS Visio proficiency
• Experience working in an IT department
