Project Coordinator (Freelance, On-Site)

Overview

We are looking to bring on board a freelance Project Coordinator to facilitate the planning and execution of operations and logistics for a series of onsite business events for one of our key clients. 

The incumbent will work closely with the team to roll out and oversee that the operations of each event runs smoothly in our client's office. 

This is a short-term freelance role that would require on-site presence. You should be able to commit from December 2024 to February 2025 on intermittent basis. 

Responsibilities

As Project Coordinator, you would be expected to support the Operations Manager and the Marketing Communication team in the following areas:

Tools & Systems

Manage systems accounts  Work with IT to set up central server volumes and local storage

Process & Communication

Prepare and distribute communications prior to and throughout events Collect and manage attendee lists and plan logistics around the attendee list

Operations & Logistics

Support day-to-day event management Ensure overall security and confidentiality “First-level support” for variety of attendee inquiries Liaison with support teams (e.g. Facilities, IT, etc.)

Day-to-day Operations

Facilitation of equipment set-up Coordination and management of vendors and other support teams Attendee registration Planning and organising catering and its set-up daily and/or whenever necessary Escalation to and liaison with the Operations Manager to troubleshoot issues before and as they arise Qualifications Strong fluency in both spoken and written English. Superior project and time management skills  Demonstrated ability to learn quickly and multi-task Flexibility in accommodating rapid change   Self-starter and can proactively problem solve when faced with challenges  Tech-savvy and have the ability to pick up and use proprietary software quickly Strong team player and proven effectiveness in managing various stakeholders  Project Coordination/Project Management experience in a global marketing or advertising agency preferred.
