SUMMARY OF POSITION:                                                                 

Project Coordinator is responsible for providing diversified administrative duties. Some duties may be complex in nature. Supports the department in monitoring purchasing status, budgets and coordinating daily activities of the department. Daily activities may include interaction with internal and external contacts and exposure to sensitive information requiring considerable use of tact, diplomacy, discretion, and judgment.                                                                                                          

A Day in The Life

Responsibilities may include the following and other duties may be assigned:

        Assist Management with overnight mailing, copying, supply ordering, booking conference rooms, scheduling meetings, catering functions, submitting purchase requisitions and other various administrative functions.          Ordering and purchasing department supplies such as Tooling, materials, spare machine parts, scheduling service calls, etc.         Support the department in managing the expense budget. This includes tracking and recording expense requisitions and invoices, quarterly forecasting, end of period reconciliation, and proactive communication of latest estimates.         Compile PCard, P.O.’s and check requests and obtain approvals, as required.         Consolidate monthly budgeting information and reconcile all monthly credit card statements.         Coordinate travel arrangements and accommodations and offsite meetings/events.         Schedule Staff and Extended Staff meetings, maintain and distribute meeting minutes.         Create and edit PowerPoint presentations; and other duties and projects as assigned.         Prepare monthly reports under the direction of manager.         Compose letters/emails from brief verbal instructions.         Draft and process communications and announcements.         Organize, maintain, and assume responsibility for files, records, and documents of confidential nature.         Work independently on various special projects under general direction of management responsible.         Manage team SharePoint sites by working with the team to develop appropriate content.  Assure the SharePoint content is kept up to date by serving as point person for data input and solicitation.         Use Maximo software to create preventive maintenance schedules for all machines quarterly and yearly.         Create and process CERs and monitor capital spend.       Interacts with peers, senior and middle management, vendors, clients, and customers on a frequent basis

Must Have: Minimum Requirements

       High School degree with 5 years related experience, or associate degree with 3 years relevant experience or bachelor’s degree with 1-year relevant experience. 

Nice to Have

        Excellent computer skills including but not limited to Microsoft Office (Word, Excel, PowerPoint) with an emphasis on finance software and MS Outlook.

The provided base salary range is used nationally (except in certain CA locations). The rate offered is compliant with federal/local regulations and may vary by experience, certification/education, market conditions, location, etc.
