Primary Function/General Purpose of Position
The Project Coordinator, Real Estate, Development & Construction supports the Director of Construction in the execution of all projects associated with the program. They will provide critical project support for maintaining, tracking and controlling project documentation and processes including bids, contracts, insurance, Notices of Commencement/Furnishing, project pipeline, invoices, lien waivers, and record documents.
Essential Job Functions
Creates construction and design contracts using standard Bon Secours Mercy Health (BSMH) contract forms and exhibits and American Institute of Architects (AIA) documents.
Organizes and distributes contracts through DocuSign and track contracts with contractors and designers through BSMH authority matrix to assure timely execution.
Analyzes, interprets, and works with Legal department to respond to requests from contractors and designers for modifications to contract language.
Creates and tracks all Change Orders in the system.
Creates and tracks Purchase Orders/Requisitions for each contract in the system.
Obtains, tracks, and distributes As-Built drawings, Operation and Maintenance manuals and Certificates of Completion from contractors, and coordinates with the appropriate BSMH departments.
Updates the Project Pipeline from data received from Construction Directors on a weekly basis.
Utilizes the BSMH Project Management software to upload budgets, vendor quotes, invoices, and coordinate with other accounting systems to assure accurate project cost reporting.
Records and tracks approvals and process vendor payment applications including lien waivers and attestations.
Schedules meetings as needed for the execution of design and construction activities.
Manages the estimating and document control process for multiple projects in compliance with the BSMH procedures.
Files and tracks any certifications required for Environmental, Sustainability, or Governance requirements.
Assists in the creation of Requests for Proposals.
Organizes and manipulates data using tools including Pivot tables in Excel.
