Position Title: Project Management Coordinator
Reporting Line: Project Management Manager
Position Purpose: The purpose of the role is to support project teams in ensuring smooth operations and efficient project execution. This role will involve assisting with support tasks associated with project management, preparing documentation, communication, collaboration, system setups and helping to ensure that our projects are managed effectively, and delivered to the highest standard.
Key Responsibilities Drive "Sales to Implementation" handover meetings that involve reviewing contract documentation, assessing scope and client specifics, identifying gaps, and collaborating with Sales Managers on the same to ensure smooth handover to Implementation Manage Implementation billing process by engaging directly with the client to source billing particulars, validate billing milestone closures with Project Managers (PM's), validating figures to be invoiced, and addressing questions raised by Finance Facilitate overview sessions on ADP Project Management tools, ADP Project Management Methodology and processes to both clients and Implementation partners Lead with client IT system setups and sourcing of internal IT advisor inputs Support the Project Managers in engaging with project teams and internal business units for delivery of project updates, tasks and deadlines Drive the logistical planning for client workshops, and review sessions Manage and own tasks required to obtain client NPS (Net Promoter Score) feedback and follow closed loop process engaging directly with clients to extract more information to utilise in 'Lessons Learned' Participate in ongoing process improvement cycle of implementation process ensuring alignment with best practices and provide back to Global Value Management Office (VMO) team for necessary improvements Ensure project documentation is released in accordance with ADP Quality and Security standards and ensure project teams are adhering to these requirements Prepare and maintain project planning documents, status reports, progress updates, and timelines for stakeholders Work with the Resource Manager and Implementation Partners for smooth onboarding of resources and ongoing engagement Partner with internal IT Advisors to prepare and maintain communication package on technical infrastructure and work with PM on the delivery/release of this to clients General support as requested by the Project Management Leadership in strategic implementation initiatives Provide general administrative assistance to our team of Project Managers Experience: Minimum of 3-5 years of experience in Project environments in a capacity of project co-ordination. Strong operational support experience focusing on areas of improvement and driving change. Ideally, experience in IT & Payroll/HR industry Experience with project management software (e.g., ProjectPlace) is an advantage Proficiency in office software, including Microsoft Office (Excel, Word, PowerPoint, Outlook)
Certifications / Qualifications: Appropriate tertiary level education and/or equivalent industry experience
