SUMMARY:
The Project Management Supervisor will support the Project Manager and the wider team in coordinating, planning, and executing various projects. This role requires a highly organized and detail-oriented individual who can handle multiple tasks, communicate effectively, and assist in the management of project schedules, resources, and documentation. The ideal candidate will have a foundational understanding of project management principles and a keen interest in developing their skills in a dynamic environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by the supervisor and/or Trustco Bank’s Board of Directors:
· Project Coordination:
o Assist in the planning and scheduling of project timelines and milestones.
o Coordinate meetings, prepare agendas, and document meeting minutes.
o Track project progress, update schedules, and report on milestones.
o Liaise with cross-functional teams to ensure project alignment and resource availability.
· Documentation and Reporting:
o Maintain accurate and up-to-date project documentation, including plans, schedules, and reports.
o Prepare project status reports and dashboards for review by stakeholders.
o Assist in the preparation of presentations and other communication materials.
· Resource Management:
o Help monitor and manage project resources, including personnel, equipment, and materials.
o Assist in the allocation and tracking of resources across multiple projects.
o Ensure that all project resources are used efficiently and effectively.
· Systems Support:
o Assist in the implementation and management of project management tools and software.
o Support the team in the use of systems for tracking project activities and performance.
o Troubleshoot system issues and provide basic user support to team members.
· Communication and Stakeholder Engagement:
o Act as a point of contact for internal and external stakeholders regarding project updates and inquiries.
o Assist in drafting and distributing communication materials to stakeholders.
o Ensure effective and timely communication across all levels of the project team.
REQUIRED EDUCATION/EXPERIENCE:
· An Associate’s degree or higher or equivalent education or experience.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
· Effective verbal and written communication skills.
· Well organized with the ability to manage multiple tasks and work to time sensitive deadlines.
· Ability to work well independently and in groups.
PREFERRED EDUCATION/EXPERIENCE:
· Bachelor’s degree in Business Administration, Project Management, or a related field (or equivalent experience)
· Previous experience in a project coordination or administrative support role is preferred.
· Familiarity with project management methodologies (e.g., Agile, Waterfall) is a plus.
POSITION TYPE/EXPECTED HOURS:
This is a full-time position. Office hours Monday – Friday 8:30am – 5:00pm and some Saturdays. Evening and weekend work may be required as job duties demand. May require some flexibility in working hours to meet project deadlines.
TRAVEL:
Travel using personal vehicle, occasional overnight travel. Valid driver’s license required.
LANGUAGE SKILLS:
Must be able to speak, read, write, and understand the primary language(s) used in the workplace; bilingual skills a plus. Ability to read, analyze, and interpret general business information, including but not limited to company policies and procedures. Ability to effectively present information and respond to questions from groups of managers and customers.
