About the role:
Four Seasons Resort O’ahu at Ko Olina is looking for an experienced Project Manager who has a passion for excellence and the spirit of aloha. As a hospitality Project Manager, you will manage all capital projects through all phases of completion – from the bidding process to the closeout of the project. Previous project management experience is essential in leading the projects while ensuring the guest experience and impact to hotel operations is efficiently handled.
What you will do:
Maintain tracking, budgeting, and status communication of all capital projects in concept phase or currently in progress with division heads and ownership.
Work with managers to properly complete Capital Expense Approval form for the purchase of capital goods. Once ownership approved, ensure purchase orders and payments are issued in a timely manner.
Create and issue RFPs and bid meetings for major projects.
Maintain approved annual capital plan and proposed corporate capital planning for General Manager and Director of Finance. Will need to work with division heads to ensure plan is updated and as accurate as possible.
FF&E procurement, tracking and retention for all capital renovations.
Coordination with interior designers, planners, architects, consultants, engineers, 3rd party reviewers for specialized applications and permitting.
Complete monthly capital general ledger reconciliations and ensure they are balanced.
As new goods are ordered, update the departmental inventory logs.
Project scheduling and on site point of contact when projects are active.
Share best practices and procedure for coordinating with operations and communicate and schedule impact to the operations effectively.
Internal controls with respect to bidding, hotel review and owner approval.
Facilitate project planning meetings – internal and external.
In the event of defective or damaged materials, contact freight forwarder or vendor to achieve resolution.
Work harmoniously and professionally with co-workers and supervisors.
Reports to Director of Engineering with finance oversight on capital budgets from Director of Finance.
Comply with Four Seasons’ Category One and Category Two Work Rules and Standards of Conduct as set forth in EmPact.
Supportive Functions
Tracking and retention for FF&E works.
Accounting for FF&E projects – FF&E cash flow, fixed assets and capital expense.
Accurately distinguish with DOF and GM between FF&E and Owner funded capital projects.
Internal controls with respect to bidding, hotel review and owner approval.
Alert and intervene on deviations from approved bids.
Owner communication on project requests.
Survey maps and building plans.
Create supporting documents for projects.
Obtain all warranty and care instructions from vendors and suppliers.
In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the requirements of the company. Management responsibilities as a member of the engineering division. Provide support and assist other departments in a crunch or as circumstances arise. Perform other duties as assigned by direct report.
What you bring:
Minimum 2 years of experience in a Project Management role (Required)
Proficient in Microsoft Excel, project scheduling, Gantt charts, and the ability to read blueprints, shop drawings, and specifications.
Reading, writing and oral proficiency in the English language.
Flexible Workdays and Hours.
Successful candidates must possess legal work authorization in the United States.
