UW faculty and staff also enjoy outstanding benefits, professional growth opportunities and unique resources in an environment noted for diversity, intellectual excitement, artistic pursuits and natural beauty. **The UW School of Medicine has an opportunity for a Project Manager.** The Enterprise Initiatives team, team of the Enterprise Initiatives Officer, sitting within the Office of the CEO, is responsible for providing leadership, direction and/or actively participating in enterprise-level business initiatives (or other activities) that involve multiple parts of the UW Medicine enterprise and do not sit squarely under the authority and operational accountability of one leader that reports to the UW Medicine Chief Executive Officer. These initiatives may involve a variety of strategic, operational, financial and other business issues affecting both the clinical enterprise and the UW School of Medicine (inclusive of research). The team of the Enterprise Initiatives Officer may serve as liaison with other UW offices, representing UW Medicine in critical meetings and discussions and is also responsible for supporting certain UW Medicine business, corporate and governance activities. This individual will play a critical role in supporting, managing, and driving high visibility specialized projects and initiatives across the enterprise. This individual will report directly to the Associate Vice President for Medical Affairs, UW and Enterprise Initiatives Officer, UW Medicine and will be responsible for assisting the office in managing complex initiatives that span one or multiple lines of business through the full project life cycle, from initiation to implementation. • Serves as a critical Enterprise Initiatives resource in supporting, managing, and driving high visibility projects and business initiatives across UW Medicine. • In general, these are business initiatives (or other activities) that involve multiple parts of the UW Medicine enterprise and do not sit squarely under the authority and operational accountability of one leader that reports to the UW Medicine Chief Executive Officer. These initiatives often involve a variety of strategic, operational, financial, and other business issues affecting both the clinical enterprise and the UW School of Medicine (inclusive of research). Initiatives may involve, for example, intra-UW Medicine activities, UW-UW Medicine activities (e.g., Office of the Attorney General, Office of Sponsored Programs, Grant Contracting and Accounting, UW Facilities, UW IRB) and/or activities involving UW Medicine (or an entity within UW Medicine such as Fred Hutchinson Cancer Center or Harborview Medical Center) and external partners (or parties). • Assists in managing complex specialized initiatives that span one or multiple lines of business through the full project life cycle, from initiation to implementation, including: o Designing project and governance structures, o Organizing and managing data, o Managing project timelines, tracking progress, and preparing reports, o Organizing and facilitating project-related meetings with various levels of leadership, o Helping lead assessments of programs/services, including financial assessments, and o Gathering and analyzing data provided as part of the assessment work. • Employs a strong blend of technical and process redesign skills, leadership, and interpersonal and communication skills. • Applies independent judgement to perform analysis of data sets, financial information or business processes relating to functions or business operations that are being assessed as part of the project scope. • Uses clear and effective written and oral communication in materials, presentations, and interactions with stakeholders. • Understands and adheres to a high level of confidentiality and professionalism. • Ability to prioritize, meet deadlines and exercise good judgement and discretion, taking appropriate initiative within the scope of the position. **DUTIES AND RESPONSIBILITIES** **Analysis (45%)** • Coordinates and gathers data from key stakeholders within the scope of a specialized project relating to the management of functions, business operations, or financial analysis that may be required as part of establishing current state and future state options. o Deep dives into functional structures, roles and responsibilities, funding models and operational workflows to help determine optimal functional management and business operation structures. o Interviews stakeholders to better understand current state. • Manages the assessment work of analyzing data sets (including qualitative and quantitative) to derive insight and support strategic decision making. o Develop tools needed to help with assessment (e.g., rubric, framework). o Statistical and data analysis needed to establish current state. o Statistical and data analysis needed to support options for future state changes. • Conducts thorough research to identify best in practice and trend modeling, including reaching out to peer institutions. • Develops a recommendation for actions (e.g., operational, financial, functional, structural, regulatory) that need to be taken based on the results of the analysis performed. • Creates graphical representations of all the analysis, research findings, financial models done during the discovery and analysis phase of the project. **Project Management (40%)** • Develops and maintains a service-oriented relationship with project sponsor(s) (e.g., Chief of Staff, President of Hospitals and Clinics, hospital CEOs, Vice Dean for Research and Graduate Education, Vice Dean of Administration and Finance), organization leadership (e.g., Clinical Chairs, Vice Chairs, Chief Information Officer, Chief Compliance Office), principal stakeholders (e.g., UWMC Administrator for Oncology Services, Director of Clinical Trials Office, Senior Director of Enterprise Records and Health Information) and project team. • Develops project charters for work required to accomplish scope and objectives for specialized initiatives. • Develops appropriate project structure and governance and helps identify stakeholder participation with clear roles and responsibilities. • Identifies estimates for project resources. • Develops statements of work and supports consultant hiring as needed. • Manages consultant engagements and provides consultant oversight where requested. • Develops plans around specific work (e.g. assessment workplans, implementation workplans, communication plans, change management plans). • Maintains, updates, and communicates project updates to the project structure and identified stakeholders throughout the project lifecycle: o Reports project progress relative to the planned progress, including milestones or variance explanation, o Issues month-end status reports and/or customized reports for multiple meeting forums, as appropriate, and o Facilitates development of go/no go criteria and lead the decision-making process, if necessary. • Actively manages project issues and risks throughout the project lifecycle: o Encourages active risk and issue identification, prioritization/severity, and management. o Documents and develops risk response plans. o Communicates risks and response plans to leadership, project team, project sponsor(s) and stakeholders, as appropriate. • Facilitates regular project team meetings with agendas and meeting minutes. • Ensures high quality and timeliness of work produced by assigned project staff and escalates exceptions, as appropriate. • Uses standard tools, templates, policies, and procedures to manage projects and complete deliverables. • Ensures thorough documentation needed so project is archived appropriately. • Provides input, as requested, on project members' performances for inclusion in personnel evaluations. **Other (15%)** • Supports development of Enterprise Initiatives’ maturity. • Leads process improvement engagements internally within Enterprise Initiatives. • Works with manager to set professional goals for career experience in a project management setting or equivalent years of higher education and/or work experience. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS** • Proficiency with Microsoft Project, Excel, Visio, PowerPoint, and SharePoint. **DESIRED QUALIFICATIONS** • Work experience in a role requiring interaction with senior leadership (e.g., Director level and above). • Demonstrated ability to partner with leaders, employees, and teams to work toward deploying a different future state. • Strong executive presence, including communication and presentation skills with a high degree of comfort with large and small audiences. • Proven relationships with individuals from a wide variety of backgrounds. **WORKING CONDITIONS** Option for hybrid/remote work schedule, subject to leadership approval and based on business needs.
