Job Description Summary: Reporting to the Director, Facilities Administration, the Project Specialist III -Facilities Administration (FA) is responsible for administrative and business operations support including department operation, processes, coordination, and management of campus-wide Real Estate and Facilities activities. Responsibilities:- Provides program task management support in operations maintenance, construction, and renovation of campus infrastructure such as finance, document records, archiving, procurement, workflow, and compliance.- Prepares department process maps, program user guides and presentation materials such as workflow creation, source referencing and document writing.- Supports administrative and operational functions for enterprise and Integrated Workplace Management Systems.- Directly monitors the development and management of FAs special projects, research, activities, and schedules.- Assists in the oversight of the Real Estate and Facilities functional programs compliance and implementation issues related to budget, procurement, and contract management.- Conducts research, audits, and prepares analytical schedules and reports regarding the responsibilities of FA functional programs.- Liaises and coordinates with related departments Coordinates office workflows, provides administrative support and assists with staff development and training.- Addresses common process questions and issues.- Reviews projects and contracts for compliance and takes appropriate actions to resolve discrepancies.- Assists in the preparation of progress reports for the Board of Regents.- Other duties as assigned. Education and Experience:- Bachelor’s Degree or equivalent combination of education and experience.- Three years of related experience. Knowledge, Skills and Abilities:- Knowledge of project management, workflow creation, and process mapping. - Skilled in excellent customer service and interpersonal relationships. - Skilled using computerized applications and enterprise systems, including word processing, spreadsheet, and presentation software. - Ability to research, analyze and solve problems. - Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied and unpredictable in scope and volume. - Ability to multi-task and work cooperatively with others. Preferred Qualifications: - Proven experience working in a real estate and facilities environment.- Proven experience working in a higher-education environment.
