JLL has an exciting opportunity to work with our growing Retail Property Management team in Katy, TX - LaCenterra at Cinco Ranch. We are offering the opportunity to join our team working with a global leader in real estate property management.
 

The Administrative Assistant serves as a fundamental coordinator to property operations and administration with a focus on Accounts Receivable.  This position reports directly to the General Manager  while working with and taking  directions from each department Manager.

WHAT YOU'LL BE DOING

Administrative Support

Manage incoming phone calls, inquiries and office visits. Direct to appropriate department.Track and maintain certificate of insurance compliance for tenant and vendors.Oversee incoming and outgoing mail, packages, courier, faxes, work order escalation notices and ensure courtesy call backs for on-going tenant issues.Prepare conference call minutes, staff meeting minutes, etc.Order, maintain and manage office supplies and equipment (supplies, copier, commissary supplies, etc.).Maintain the office as a professional, organized, and well-kept environment.  General office housekeeping tasks.Prepares, processes, files tenant correspondence, memos, reports and maintains up-to-date tenant files – both hard files at the shopping center and digital files.Participate in emergency training and acknowledge the centers Emergency Response Plan and procedures.Other duties as assigned by the General Manager falling within the reasonable expectations of an administrative position.

Accounting

Assist with Accounting deadlines and projects.Accounts Receivable:Daily management and entry/posting of cash receipts and billing adjustments.Manage tenant reconciliations, correspondence, and billing.Manage rent collections, percentage rent billing & AR reports.Manage and respond to tenant inquiries regarding account questions and billings.Manage miscellaneous income tracking and post accordingly.
 Accounts Payable:Invoice submittal, entry and processingW9 setup for new vendors.Manage billbacks and collection.Manage and track utility billing and payments.Collection and entry of tenant sales reports
 

WHAT WE'RE LOOKING FOR

1-2+ years of Accounts Receivable experienceExperience in bookkeeping, accounting and data processing preferred.High School Diploma required, Associates Degree or higher preferredKnowledge of specific software programs, including Yardi, MRI, Outlook, Word & Excel.Experience with reviewing and interpreting leases and contracts to ensure understanding.Time management – ability to manage time well and be self-motivated without direct supervision.Communication - Able to provide ongoing input to mall team through thoughtful and detailed information.Ability to multi-task in a fast-paced environment, working within a team structure and independently.Teamwork - Able to work in a team atmosphere, providing support to other departments as necessary.Organization - Ability to maintain an organized workspace/office and have the skills necessary to keep an easily understood filing system.Customer Service - Has the interpersonal skills to provide good service to customers, contractors, vendors, and clients. Has friendly and helpful attitude.
