Property Administrator
Description We are looking for a highly organized and detail-oriented Property Administrator to join our team in Dorchester, Massachusetts. This role involves managing office administrative tasks, handling tenant correspondence, and processing work orders in a dynamic work setting. This is a short-term contract employment opportunity that requires proficiency in basic office skills. Responsibilities: • Handle incoming calls and provide necessary information or redirect calls as needed • Enter work orders and applications accurately and efficiently into the system • Update tenants on the status of their applications and work orders • Provide additional administrative support to the Property Manager as required • Assess eligibility and collect required information for applications • Maintain organized and up-to-date office files • Process maintenance work orders and maintain relationships with vendors • Prepare and send out communication (letters, emails, etc.) to residents • Assist in managing data entry tasks, including filing and scanning documents • Contribute to the maintenance of accurate customer records. Requirements • Possess a minimum of three years of experience in the role of Property Administrator or similar positions. • Exhibit proficiency in basic office skills such as typing, filing, scheduling, and phone etiquette. • Demonstrate experience in handling work orders, including receiving, processing, and tracking them. • Display excellent oral and written communication skills to effectively liaise with clients, staff, and management. • Show proficiency in using computer software, including Microsoft Office Suite, property management software, and database systems. • Exhibit strong organizational skills, with the ability to manage multiple tasks, prioritize, and meet deadlines. • Demonstrate a high level of attention to detail to ensure accuracy in work tasks. • Show ability to work independently and as part of a team, demonstrating initiative and problem-solving skills. • Possess a valid driver's license and reliable mode of transportation for occasional travel for property visits if required. • Show willingness to continuously learn and adapt to changes in the property management industry. • Possess knowledge of property regulations and laws to ensure compliance. • Exhibit strong customer service skills to address tenant inquiries and concerns effectively. • Show a high level of professionalism and ethical behavior in all work-related activities.
