JLL is seeking a dynamic and customer-oriented individual to join our Property Management Team in Edmonton . As a vital member of our team, you will serve as the primary point of contact for clients and tenants, managing tenant accounts and costs.
As Property Administrator, you will play a crucial part in ensuring the smooth operation of our buildings by efficiently handling tenant inquiries and providing exceptional administrative and accounting support. We will rely on your level-headedness and professional demeanor to handle sensitive and urgent requests.
WHAT YOU’LL BE DOING
Establish and maintain professional working relationship with Tenants, vendors, building security, cleaners, and various contractors to ensure smooth operation of the Property.Assist Property Manager on Tenant relations functions and monthly/quarterly reporting requirements. Prepare monthly revenue variance analysis with commentary on significant variances (+/-15%) from previous year for the Property Manager to ensure client reporting deadlines are met.Review administrative and accounting duties in the Property Manager absence and advise on actions taken.Maintain Tenant accounts to ensure that they are properly set up, charges processed, credits applied, and collection of outstanding arrears are managed on a timely basis.Assist the Property Manager in monitoring cost control projects monthly to ensure their accuracy and that the appropriate approvals are in place. Inform Accounting regarding amortization of recoverable capital and prepare required reconciliations.Track all project costs relating to insurance, capital, Landlord Work, Tenant Improvements, and vacant suite prep. Ensure that project management fees are billed according to company guidelines.Review recovery worksheets with the Property Manager, prepare and distribute Tenant recovery documents, and support in addressing Tenant inquiries about recoveries.Assist Property Manager in reviewing the prebill worksheet and ensure that rent schedules match the approved rates. Prepare all relevant Tenant letters and documentation and send out the prebill packages.Issue and monitor Purchase Orders. Process invoices for payment by Head Office and respond to vendor and AP team inquiries.Prepare monthly accruals, Tenant chargeback, and reclass for Accounting’s input in Yardi. Monitor utility invoices, accounts, and advise Property Manager of anomalies and large variances monthly. Support annual budgeting and reforecasting planning by inputting normalized data and approved changes into Yardi under the Property Manager's guidance.Prepare monthly parking revenue reports for the property, where applicable. Manage parking registrations and underground parking issues.Submit leases/modifications to Lease Administration team and review setup prior to Property Manager’s approval. Ensure security deposit is received and applied and provide rent schedule once lease is activated in Yardi.Monitor tax notice and advise Property Manager of large variances and prepare proposed revised rates for accounting to input in Yardi for the property, where applicable. Prepare, distribute, and manage various correspondence to Tenants including building memos, and other communication as necessary.Maintain collection and upload of Tenant and vendor insurance certificates ensuring compliance to policies and Lease requirements are adhered to.Maintain Tenant and property files on SharePoint, Yardi, and Prism.Act as subject matter expert for accounting and process related questions from other Property Administrators.Other job duties as reasonably assigned.WHAT YOU BRING
3+ years’ experience in a commercial property, preferably in operations or Tenant managementRelated post-secondary is desirable, in particular financial and accounting coursesActively pursuing a Property Management Designation such as Real Property Administrator (RPA) or Certified Property Manager (CPM) preferable.Working knowledge of MS Office applications required. Knowledge of Real Estate budgeting software such as Yardi Voyager preferred.Good interpersonal, communication and team skills.Aptitude for servicing Tenants with the ability to see both the customer’s perspective and the impact on the organization.Ability to multi-task and prioritize to meet changing demands and expectations of clients.WHAT’S IN IT FOR YOU
