Property Administrator
Description Robert Half is partnering with a leading commercial real estate firm in San Diego, California, to find a detail-oriented and proactive Property Administrator. This is a fantastic opportunity to step into a dynamic role where you'll play a key part in ensuring seamless property operations, maintaining strong tenant relationships, and supporting financial and contract management functions. As the go-to person for tenants, vendors, and property management teams, you’ll oversee daily operations, coordinate service contracts, process invoices, and manage Certificates of Insurance (COIs). Key Responsibilities: + Serve as the primary point of contact for tenants and vendors, ensuring all service requests, lease inquiries, and maintenance concerns are handled efficiently. + Act as a Client Coordinator, supporting property management teams by addressing client needs, preparing reports, and facilitating communication between tenants and service providers. + Oversee service contract management, maintaining accurate records, tracking renewals, and ensuring vendor compliance with agreements. + Manage Certificates of Insurance (COIs) for tenants and vendors, ensuring all required documentation is current and in compliance with company policies. + Process and track accounts payable (AP), ensuring timely and accurate invoice payments while coordinating with the accounting team. + Conduct property inspections, document action items, and collaborate with facilities and engineering teams to maintain high operational standards. + Coordinate tenant move-ins and move-outs, ensuring all necessary documentation, access, and vendor services are arranged in a timely manner. + Support the preparation of annual budgets, monthly financial statements, variance reports, and CAM reconciliations. + Maintain accurate lease, financial, and operational records in property management software (e.g., Yardi, MRI, or similar CRM systems). + Organize and execute tenant engagement initiatives, including appreciation events and community programming within budget constraints. + Monitor and track delinquencies and collections, working closely with property managers to resolve outstanding balances. Requirements Experience in commercial real estate or property management, with a strong understanding of daily operations. Knowledge of accounts payable (AP), including invoice processing and rent collections. Proficiency in property management software such as Yardi, MRI, or similar CRM systems. Familiarity with service contracts and COI management, ensuring compliance and accurate documentation. Strong organizational and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment. Excellent communication and interpersonal skills, with the ability to build strong relationships with tenants, vendors, and property teams. Attention to detail and problem-solving skills, ensuring operational efficiency and compliance with lease agreements. Ability to conduct property inspections and collaborate with engineering and facilities teams to address maintenance concerns. Experience coordinating tenant move-ins and move-outs, ensuring a seamless transition for all parties involved.
