JOB SUMMARY: The Property Management Coordinator is a proactive, resourceful and data-driven team player who is reliable and dependable, committed to operational excellence. This role is critical to optimizing property and equipment maintenance across all Belle Tire locations, including retail, distribution, training, and corporate properties. The primary focus is servicing our stores with a customer-first mindset enhancing efficiency, leveraging data for smarter decision-making, and proactively addressing maintenance needs to ensure smooth operations. The coordinator will play a key role in maintaining property standards, driving cost-effective solutions, and ensuring all locations are well-maintained, compliant, and positioned for long-term success. Duties and Responsibilities: * Serve as a service-focused point of contact for maintenance requests, delivering prompt, professional, and customer-oriented support via phone and email. * Monitor and manage work order requests and ensure timely and effective resolution, tracking progress and outcomes. * Analyze data on work order timeliness, cost-effectiveness, and quality to drive continuous improvement. * Build and maintain strong, service-driven relationships with internal customers and service partners, ensuring clear communication, high-quality support, and timely issue resolution. * Ensure that facilities and equipment are well-maintained, compliant with regulations, and aligned with long-term operational goals. * Maintain and organize digital property records, ensuring all data is accurate, up-to-date and actionable. * Verify work completion and ensure maintenance and repairs meet quality standards. * Troubleshoot and resolve related issues by working with service providers and internal teams. * Utilize data analytics and insights to optimize spending and improve operational efficiency. * Assist in budget tracking and cost analysis for maintenance and repair projects. * Perform other duties as assigned to support Belle Tire's growth and operational excellence. Minimum Qualifications: * 1+ year of experience in property management, facilities coordination, or a related field (customer service, retail, hospitality). * Ability to provide excellent customer service with strong written and verbal communication skills to effectively work with service providers and internal teams. * Excellent organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment. * Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.) and the ability to learn new systems quickly. * Ability to work independently and collaboratively within a team. * Excellent work ethic, with a strong commitment to consistently meeting or exceeding expectations Preferred Qualifications: * Bachelor's degree in a relevant field (Facilities Management, Business Administration, or closely related field). * Experience in a retail-based property management or facilities role, with a strong customer service focus. * Strong problem-solving skills, adaptability, and ability to troubleshoot issues efficiently. * Data-driven mindset, with experience using analytics to drive decision-making and improve processes * Familiarity with work order management systems, CMMS, or other asset management technology. * Action oriented and highly organized, with the ability to manage multiple tasks efficiently. Working Conditions: Typical work hours: Monday--Friday, 8 AM--5 PM, with a Saturday rotation to cover weekend needs and occasional evening hours based on urgent property matters. Office environment with adjustable equipment for sitting or standing.
