Job Summary:
The Property Administrator is responsible for efficiently and effectively managing the administrative operations of a commercial property. They play a crucial role in ensuring the smooth operation of the property by coordinating with various stakeholders, managing paperwork, and providing excellent customer service to tenants and visitors. The Property Administrator reports to the Sr. Property Manager and works closely with other team members to ensure the property's overall success.
Duties and Responsibilities:
Administrative Support: Perform general administrative tasks such as answering phone calls, responding to emails, filing documents, and maintaining organized records.Tenant Liaison: Act as a primary point of contact for tenants, addressing their inquiries, resolving issues, and ensuring satisfaction with property services.Property Maintenance: Coordinate property maintenance activities, including regular inspections, repairs, and maintenance tasks, in collaboration with vendors and service providers.Budget Management: Assist in the preparation and monitoring of property budgets, track expenses, and review invoices to ensure accuracy and compliance with budgetary guidelines.Reporting and Documentation: Prepare regular reports on property performance, occupancy rates, leasing activity, maintenance requests, and other key metrics.Vendor Coordination: Communicate and coordinate with various vendors, suppliers, and contractors to obtain quotes, schedule repairs, and ensure quality service delivery.Building Security and Safety: Assist in implementing and enforcing building security and safety measures, including emergency response protocols, access control systems, and visitor management procedures.Qualifications and Skills:
High school diploma or equivalent (Bachelor's degree preferred)Previous experience in property management, real estate, or a related field is a plusExcellent organizational and time management skillsStrong attention to detail and accuracySolid interpersonal and communication abilitiesProficient in using property management software and Microsoft Office SuiteKnowledge of local regulations and laws related to commercial property managementAbility to prioritize tasks and work effectively in a fast-paced environmentExcellent problem-solving and decision-making capabilitiesCustomer service-oriented mindsetThis job description outlines the primary responsibilities of a Property Administrator.
