Job DescriptionThe Proposal Coordinator is a key part of AECOM ’s regional Major Pursuits Team. They will use their experience and expertise to support the Associate Bid Director or Bid Manager leading the bid, having read and understood the client requirements. This position requires a strong communicator with excellent attention to detail, with the ability to evaluate, monitor and present information and data. Our bid coordinators have solid problem-solving and organisational skills, and take a practical and proactive approach to their work.
The Proposal Coordinator works effectively in a challenging and dynamic environment, thriving under deadlines and completing tasks to a high standard.
Responsibilities:
Organise and coordinate key activities at positioning stage, including win strategy workshopsWork with the MPT bid lead and capture manager to help mobilise the agreed technical, work winning, commercial and marketing resources ahead of procurementEnsure the effective use of work winning process and tools, for all bids, to optimise the opportunity of winningDevelop and coordinate key ongoing PQQ and tender activities, for example governance schedule, bid programme, online collaboration space, bid folders, progress tracker, actions, TQs etc.Review PQQs, RFPs and other related documents and coordinate the development of winning responsesSource and review existing content and provide the Bid Manager with relevant informationPrepare templates, CVs, case studies and occasionally storyboardsWork with bid contributors to manage and monitor progressFlag risks to the bid lead and support the team with progress monitoring against identified risksEnsure a winning, compliant, error free document arrives with the client in the correct format, meeting the deadlineAssist in the preparation of presentations for specific pursuitsManage the bid close-out process, post-submissionCoordinate our internal debrief and lessons learned activities and provide personal input to bid-specific sessionsQualificationsExcellent verbal and written communication skills along with experience of coordinating multi-disciplinary proposals of a high strategic valueAn eye for detail, not accepting second best and taking personal pride and responsibility for all aspects within your controlA sound working knowledge of Microsoft Excel, Word and PowerPointA methodical approach to supporting bids and business development activities across our regionProfessional and collaborative, building credibility with colleaguesWorks positively under pressure and delivers quality output to deadlinesAn experienced and efficient multi-taskerOpen to working co-located working on occasion, where the bid team agree this approachAdditional InformationWhile this is a hybrid role with limited office attendance, it requires flexibility to co-locate or travel to other cities as needed, depending on the locations of bids or project requirements.
