The University of Virginia’s School of Engineering and Applied Science is seeking a Proposal Coordinator to join the School’s Office of Research & Innovation. The mission of the Office of Research & Innovation is to support faculty research in the School of Engineering and Applied Science. The goals of this position are to increase support provided to faculty who are pursuing large, complex grant proposals and to increase the capacity of the School for submitting large, complex proposals.
The primary duty of this position will be to assist faculty and Senior Grant Administrators in the Office with the development of large, complex proposals for extramural funding. The Office of Research & Innovation uses a project management approach in developing large, complex proposals, with a Senior Grants Administrator taking the lead on each project. The Proposal Coordinator will provide programmatic coordination and support, and will assist the Senior Grants Administrator and faculty with a variety of administrative tasks, as needed for each proposal. The ideal candidate should be customer-service focused, well organized, technically adept, and excited to learn. This position will report to the Assistant Dean for Research. This is a hybrid position, with the expectation of at least three days a week in the office.
The key responsibilities for this role are:
Working with faculty and Senior Grant Administrators to develop large, complex proposals.
Assisting Senior Grants Administrator in reviewing Requests for Proposals and other sponsor documents. Collecting and analyzing data on research programs from sponsor and internal systems, including data on previous awards for specific sponsor programs.Assisting in the development of proposal checklists and internal proposal timelines. Tracking proposal progress and assisting in adjusting checklists and timelines, as needed. Creating and maintaining a central repository for all proposal documents.Coordinating kickoff and periodic proposal meetings with faculty, external collaborators, and external administrators. Serving as point of contact for internal and external collaborators and administrators.Assisting faculty in assembling the proposal team, including identifying potential resources and personnel across the University. Establishing and maintaining personnel checklist; tracking status of required documents for all personnel. Working with faculty and department administrators to collect data required for proposal submissions, such as trainee data. Coordinating graphics design services.Assisting faculty and Senior Grants Administrator with creation, collection, and review of supplementary required documents, including biosketches, Current & Pending documents, subrecipient budgets and personnel documents, letters of commitment, etc.Assisting with compliance review of technical documents, and coordinating technical review of documents.Assisting with just-in-time sponsor requests, sponsor site visits, and reverse site visits.Assisting with other administrative projects within the Office of Research & Innovation.Coordinating periodic grant development workshops to assist faculty in developing more competitive proposals.Curating proposal development resources, including templates, proposal examples, and agency-specific guidance.Assisting with the administration of internal funding programs, including coordinating the review of internal proposals, working with the Engineering Finance team to set up award accounts, and collecting reports on project outcomes.Collecting data and developing reports on research proposals, awards, and expenditures.Coordinating Office meetings, including regular meetings with the Engineering Research Advisory Committee.Other duties as assigned.Required Education and Experience:
Bachelor’s degree plus three years of experience; an equivalent combination of education and experience will be considered in lieu of a degree.MS Office applications, including Outlook, Word, Excel and PowerPointExcellent written and oral communication skillsExperience with the following is preferred but not required:
