Proposal Coordinator
Job Title: Proposal Coordinator

Job Description

In concert with the Proposals Manager, Project Manager, and Proposals Team, this role supports the proposal and estimating teams in the preparation of competitive proposals which are of a high technical and commercial quality and follow systems and procedures for proposals and estimating. These systems must represent best practices and be consistently applied to all proposals. The Proposal Coordinator maintains databases and is responsible for finalizing and submitting responses to clients.

ResponsibilitiesPrepare responses to pre-qualification questionnaires, requests for information, and solicitation of interest.Handle proposal production both internally and externally, including editing, formatting, printing, distribution, and delivery of final materials to the customer.Prepare templates and provide reference materials for responding to requests for proposals.Create PowerPoint presentations and executive summaries.Manage vendor setup and registration.Set up proposals and control documentation within shared drives such as Box and SharePoint.Complete Customer Relationship Management system tasks using Salesforce.Assist in daily administrative tasks and duties.Prepare and support pre-bid submissions and pre-qualification documents.Ensure all proposals and pre-qualifications are complete for timely submission.Make arrangements for timely proposal submissions.Essential SkillsProficiency in Microsoft Office (Word, PowerPoint, Visio, and Excel).Experience in proposal preparation in construction or a related field.Ability to wordsmith texts effectively.Excellent communication skills across all organizational levels.Ability to handle pressure positively and maintain organizational skills.Additional Skills & QualificationsDegree in marketing or administration is preferable.3-5 years of experience in administrative tasks, including ideally 2 years in coordination roles within sales for an engineering or construction environment.Logical and well-organized with the ability to prioritize tasks.Systems, website, and computer literacy.Work Environment

This position is remote, allowing for flexibility in work location. Eastern standard time preferred. This position requires someone who is willing to work overtime some weeks and under 40 hours during light workflow times. This is a 12 month contract position with the goal of going direct by the end of the contract.

Pay and Benefits

The pay range for this position is $25.00 - $30.00
