Proposal Coordinator
Job Title: Proposal Coordinator Job Description seeking a detail-oriented and proactive Coordinator to assist with the development of EMS quotes and contracts. This role involves close collaboration with the Software Product Team and the Product Management Team to ensure accurate and timely documentation that aligns with client needs and company standards. The coordinator will play a key role in supporting client success initiatives, fostering cross-departmental communication, and maintaining high-quality deliverables. Responsibilities + Assist in drafting, reviewing, and finalizing quotes and contracts. + Ensure all documentation aligns with organizational standards and client-specific requirements. + Collaborate with internal stakeholders to gather accurate and up-to-date information for quotes and contracts. + Work closely with the Product Management team to understand product capabilities and integrate relevant details into quotes and contracts. + Partner with the Software Product team to incorporate client feedback and align deliverables with business objectives. + Identify and recommend process improvements to enhance the efficiency of quote and contract development. + Maintain and update templates, checklists, and documentation to support consistency and accuracy. + Assist the Manager, Client Success, in responding to client inquiries related to quotes and contracts. + Provide exceptional customer service by ensuring client requests are addressed promptly and professionally. + Maintain accurate records of quotes and contracts within the organization’s systems. + Track and report on the status of quotes and contracts, ensuring timely follow-up and completion. Essential Skills + 2+ years of experience in a coordinator, administrative, or support role, preferably within a client-focused environment. + High proficiency with MS Office, Excel, PowerPoint, and Salesforce. + Strong written and verbal communication skills. + Ability to clearly convey complex information to diverse audiences. + Strong ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines. + Demonstrated ability to work effectively in a team-oriented environment with multiple stakeholders. + Proven track record of successful process improvement and project management. Additional Skills & Qualifications + Experience with EMS quotes and contract management. + Experience with EPC quotes and contract management. + Experience working in the software industry Work Environment The work environment is dynamic and team-oriented. This role is a 12 month contract. You would be required to be onsite M-F in Durham, NC. Pay and Benefits The pay range for this position is $30.00 - $35.00/hr.
