**What You'll Be Doing**
**Job Scope:** Generally responsible for leading our response to Requests for Qualifications (RFQ) and Requests for Proposals (RFP) for the company. Managing the proposal activity timelines and ensuring all proposals submitted meet the Hargrove quality standards. This work will be performed under minimal supervision.
**Primary responsibilities will include but are not limited to:**
+ Monitor Qualifications Inbox – Download requests for Qualifications, Requests for Information and Requests for Proposals. Create folders on the appropriate servers and transfer client documents. Notify appropriate leaders of pending opportunities.
+ Requests for Qualifications – Maintain usernames and passwords for third party verification sites. Maintain library of standard qualification documents and update regularly with information from Safety, Finance, Quality and Marketing. Coordinate with Contracts group on Certificates of Insurance. Complete and upload qualifications in a timely fashion or to meet specific deadlines. Requests for Information – Schedule kick off meetings, status and review meetings and management review meetings. Create response templates. Review questions with operations and assign tasks and areas of responsibility.
+ Maintain a library of previous project information. Maintain library of standard RFI response questions and answers.
+ Conduct frequent progress meetings. Upload content from internal sources into the response document. Provide formatting. Upload response documents to third party sites and coordinate delivery. Print, bind and ship response documents when required.
+ Requests for Proposals - Schedule kick off meetings, status and review meetings and management review meetings. Create response templates. Review proposals with proposal manager and operations and assign tasks and areas of responsibility.
+ Coordinate with Finance and Accounting on rate sheets, templates and spreadsheets.
+ Coordinate with Contract group on review and mark up of legal documents.
+ Schedule meetings with appropriate Teammates to allow time for response development. Conduct frequent progress meetings and issue meeting minutes.
+ Upload content from internal sources into the response documents. Provide formatting. Upload response documents to third party sites and coordinate delivery. Print, bind and ship response documents when required.
+ General – Coordinate with marketing to support presentation requirements. Prepare drafts of weekly Capture Management and Opportunity report. Maintain schedule of current opportunities with review dates and due dates.
**Ideal Background**
**Education:** Bachelor of Arts in Marketing, Public Relations, Communication (or related field) required.
**Certification:** No certification is required for this position.
**Experience:** This position requires 5 to 10 years of marketing or proposal experience in a professional environment.
+ Knowledge and experience within the marketing, qualifications and proposals field.
+ Strong organizational and prioritization skills.
+ Ability to perform under pressure with multiple deadlines. High proficiency in Microsoft Word, Excel, Outlook, Skype, Goto Meeting, PowerPoint, SharePoint and other applicable tools.
+ Ability to work on a team to accomplish goals.
+ Ability to communicate effectively, both verbal and written.
+ Excellent interpersonal skills; ability to interface with internal and external clients.
+ Strong work ethic and willingness to take ownership for wide-ranging responsibilities.
+ Ability to work in a fast-paced environment with extreme multi-tasking.
+ Ability to maintain effective working relationships with teammates, clients, and vendors.
+ Focus on customer satisfaction.
+ Ability to work flexible hours as needed.
+ Attention to detail, including formatting, proofreading and grammar.
+ Ability to prioritize tasks, manage a large number of proposals and adhere to deadlines.
