Proposal Coordinator

Responsibilities:

Report to Assistant Manager, Proposal Production and support tender document preparation from tender preparation kick-off to completion;Read carefully and understand tender requirements on submission format, volumes and copies, table of contents, appendix and delivery and output method;Prepare proposal production timetable and item check list for Win Work Team & Bid Team's collaboration (e.g. CVs, figures, drafts, maps, covers and divider texts);Prepare and set up letter templates for all tender correspondence;Ensure consistency and professional style on font, colour and layout throughout tender submission;Update and format CVs, org charts as per Bid Manager's request;Manage printing and binding of all final tender submission deliverables. Ensure completion of all tender response and on-time delivery;Organize Win Work Team internal library, bidding team's CVs, project case studies. Maintain registration, content and document archives up-to-date;Communicate and work collaboratively with Win Work Manager, Win Work Graphics Team, project teams and different departments.

Requirements:

Diploma or above with relevant working experience within architectural / engineering / construction / project management industries. Secretarial experience will be an advantage.A positive go-getter who is responsible, committed, diligent and willing to learn and grow.Excellent organisational and coordination skills with an eye for detail.Proficient in MS Office (e.g. Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat.Good command of both spoken and written English and Chinese.Adapting to changes, new skills and technology.Ability to work independently, effectively and collaboratively with teams under pressure of tight deadlines.Willing to work overtime when required.Immediate availability is highly preferred.
