Proposals Coordinator

Pearson VUE’s proposal team is a close-knit group that highly values teamwork and collaboration. The Proposal Coordinator supports the proposal team, assisting with high-quality proposal creation and delivery in a high-volume environment. Working closely with the Manager, Proposals, Senior Proposal Analysts, Proposal Analysts, and Associate Proposal Analyst, the Proposal Coordinator will support the efforts of Proposal Development through writing, editing and proofreading; organization and planning; and project facilitation.

Work Location

This is a hybrid role. While most work can be performed remotely, the role requires hard copy proposal production work to be completed in person at our Bala Cynwyd, Pennsylvania office. 

Responsibilities

50% Proposal Production

Assist Proposal Analysts and Manager to meet tight deadlines through multi-tasking. Create proposal covers based on existing templates and manage cover image library. Obtain bid materials from stakeholders for inclusion in appendices, e.g., sample reports. Assemble appendices electronically (90-95% of bids), making certain documents reflect corporate standards. Perform physical proposal production duties as needed to support hard copy submittals (5-10% of bids). This includes printing, collating, creation of tabs, etc.

30% Proposal Response

Create graphics for inclusion in proposals (training will be provided). Write and edit key staff resumes and manage related key personnel boilerplate text. Write and edit client profiles.

20% Other duties as assigned

Submit FOIA requests for competitor bids and related evaluation materials.  Check state procurement sites for RFPs. Perform other bid-related administrative support.

Education and Experience

Bachelor’s degree in English, Business, Journalism, Marketing, or Communications required OR equivalent combination of education and experience required. 1 year experience in a corporate environment. Experience and proficiency with Microsoft 365 applications, especially Microsoft Word. Familiarity with other Adobe Creative Cloud applications, and/or Lucidchart is a plus.
