Job Summary The Provider Network Communications Specialist is responsible for contributing to, maintaining, organizing, and executing, operational communications to the provider network. This role ensures the design, approval, and distribution of diverse content types across various channels, ensuring brand consistency and alignment with organizational mission and values, and compliance with federal and state guidelines. The Communications Specialist collaborates with various teams within a heavily matrixed environment to ensure the provider network is informed of health plan activities. This role will support the operational implementation of the strategic plan, related projects, and initiatives across the organization, and will serve as a resource for gathering and translating feedback related to provider communications, ensuring process improvements are identified and implemented appropriately. Additionally, this role is responsible for maintaining an organizational provider contact directory. Essential Responsibilities Operations + Leverage multiple resources to ensure standard and specialized process and tool development, deployment, and ongoing evaluation and improvement, in support of the provider network. + Contribute to, implement, and support the maintenance of provider-network related communication policies, procedures, and monitoring systems for day-to-day execution of provider network-related operations, resources, deliverables, policies, and procedures. + Maintain and support the development and implementation of comprehensive content calendars based on departmental and organizational objectives, provider network needs, and industry best practices. + In partnership with department leadership, manage communications related to departmental activities, resources and training available, and opportunities for collaboration. + In partnership with Regulatory Affairs and Compliance teams, provide oversight and management of regulatory requirement deliverables related to provider network communications, ensuring communication-related regulatory compliance and organizational obligations are met. + Serve as a provider network communications resource and liaison for internal and external partners, providing operational and solution-based insight and support. + Facilitate and/or participate in centralized network-related committee(s). + Support programmatic needs of priority projects and programs Provider Network Operations is responsible for. + Collaborate with other team members to accomplish functions essential to the department and organization. + Make accessible, maintain, and coordinate updates for online provider support and compliance materials (such as the Provider Manual). + Maintain a centralized library of finalized content, templates, reports, and other provider network communication materials in alignment with branding guidelines, ensuring accessibility to the organization, as appropriate. + Maintain a consistent and timely publishing schedule, collaborating with department leadership to ensure oversight of, and adherence to, the communication review and approval process. + Develop, maintain, and distribute materials (including FAQs, training guides, and contact lists), ensuring access to internal and external audiences as appropriate. + Collaborate across the organization to establish, maintain, and enhance, a comprehensive, accurate, centralized internal provider contact directory for the provider network. + Support provider network operations communication strategies across the organization and provider network. Analysis and Evaluation + Optimize content based on performance data, user feedback, and evolving goals. + Facilitate meetings and communication channels with internal and external partners, aimed at aligning priorities, collecting feedback, and incorporating feedback into communication plans and distribution strategies. + Utilize analytics tools to measure content performance, analyze engagement, and adjust approaches and templates based on data-driven insights. + Stay informed of provider network-related updates and sentiment, industry and community trends, content marketing innovations, and emerging platforms, to keep strategies current and effective. + Lead efforts to streamline, enhance, and monitor provider network communications and related processes. + Identify and define current and future resource needs within a heavily matrixed environment. Experience and/or Education Required + Minimum 2 years of marketing or communications experience with a healthcare organization, using a variety of media and formats (e.g. print ads, email, website content, social media, and direct mail) Preferred + Experience working in Medicaid or Medicare healthcare communications + Experience with data analytics tools and techniques for interpreting provider feedback and engagement data and incorporating insights into communication strategies Knowledge, Skills and Abilities Required Knowledge + Understanding of communications best practices + Understanding of desktop publishing, website design, graphic design, and photography + Understanding of provider network development, education, operations, and relations + Understanding of health system operations, the healthcare industry, current trends and behaviors + Understanding of Medicare, managed care, and the Oregon Health Plan + Strong understanding of techniques used in change management + Knowledge of healthcare terminology + Knowledge of marketing concepts, techniques, and audience appeal + Knowledge of current copywriting and content production best practices, including print, digital and social media + Knowledge of multimedia content development workflows + Strong knowledge of HIPAA regulations and other healthcare-related compliance requirements Skills and Abilities + Strong computer application skills, including the Microsoft 365 Office suite, and Microsoft and Google-based web browsers + Skilled in developing marketing concepts that meet objectives + Skilled in driving results strategically, and executing strategy effectively + Skilled in creating and managing visual displays or maps of processes, timelines, and projects + Excellent communication skills, including listening, verbal, and written + Excellent interpersonal skills and ability to give and receive constructive editing feedback + Ability to understand and strategize content across multiple channels based on constituent needs + Ability to conduct trend analysis and informal research to identify communication needs and variances + Results-oriented with strong attention to detail, multi-tasking, and ability to meet tight deadlines in a fast-paced environment + Strong ability to develop and maintain professional relationships, clearly articulate policies and objectives, and utilize internal and external resources effectively + Ability to work independently and collaboratively with minimal supervision + Ability to work effectively with diverse individuals and groups + Ability to learn, focus, understand, and evaluate information and determine appropriate actions + Ability to accept direction and feedback, as well as tolerate and manage stress + Ability to see, read, and perform repetitive finger and wrist movements for extended periods + Ability to hear and speak clearly for extended periods + Strong understanding of writing effective web content and best practices + Ability to create and manage visual displays or maps of processes, timelines, and/or projects Working Conditions Work Environment(s): ☒ Indoor/Office ☐ Community ☐ Facilities/Security ☐ Outdoor Exposure Member/Patient Facing: ☒ No ☐ Telephonic ☐ In Person Hazards: May include, but not limited, to physical and ergonomic hazards.
