Purpose
The Provider Relations Administrative Associate supports the Provider Referral Management Office (PRMO) by providing essential administrative and logistical assistance to ensure smooth day-to-day operations. This role manages scheduling, record-keeping, and communication tasks, enabling Network Managers and Outreach Coordinators to focus on building and maintaining relationships with community providers. The Administrative Associate plays a vital role in sustaining provider satisfaction, supporting referral operations, and contributing to the organization’s strategic growth objectives.
Responsibilities
Administrative Support: Manage calendars and schedules for the PRMO team, including Network Managers and Outreach Coordinators, to ensure efficient time management. Prepare and organize materials for meetings, events, and provider engagements. Assist with travel arrangements and logistical needs for provider outreach activities.
Record-Keeping and Data Management: Maintain accurate records of provider interactions, engagement activities, and referral trends. Update and manage databases, spreadsheets, and CRM tools to ensure accessible and reliable information. Track and monitor key performance metrics, preparing reports for the PRMO Director and team members as needed.
Communication Support: Draft, proofread, and distribute correspondence to community providers, such as letters, emails, and newsletters. Act as a point of contact for incoming inquiries, routing them to the appropriate team member and ensuring timely follow-up. Assist in the creation of presentation materials for provider engagements and internal meetings.
Event Coordination: Support the planning and execution of provider engagement events, including scheduling, venue coordination, and material preparation. Assist Outreach Coordinators in managing event logistics and tracking attendance and feedback.
General Office Operations: Manage office supplies, organize documents, and perform general administrative tasks to ensure operational efficiency. Provide support for special projects and initiatives as assigned by the PRMO Director.
Perform other related duties as assigned.
Required QualificationsAssociate’s degree in Business Administration, Healthcare Administration, or a related field. 2+ years of experience in administrative support, preferably in healthcare or a related field. Strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with data entry and CRM tools. Excellent written and verbal communication skills.
Relevant education and experience may be substituted as appropriate.
Preferred QualificationsBachelor’s degree in Business Administration, Healthcare Administration, or a related field. Experience supporting provider relations or referral management teams. Familiarity with healthcare operations and terminology. Ability to manage multiple tasks and prioritize in a fast-paced environment.
Salary Range$43,500+ depending on qualifications
