Provider Services Coordinator

To provide support for development, operation, growth and promotion of OGHS, consistent with its Mission, Vision and strategic priorities. Provide coordination between Medical Staff Services, Graduate Medical Program, Physician Recruitment and the Quality department as needed under the direction of the CMO. The Coordinator helps coordinate all of the Medical Staff committee meetings, manages all correspondence and routes to appropriate parties. Establishes and maintains communication with the Medical Staff. Responsible for a positive relationship between the hospital and the Medical Staff, provides feedback and continuous customer support. Provides administrative support when necessary to the CMO, Chief of Staff, and CEO. Required to learn and maintain knowledge of Medical Staff Bylaws, Rules and Regulations, hospital policies and procedures, The Joint Commission Standards and requirements of other applicable federal, state and local regulatory and accrediting agencies. Works closely with the other Medical Staff department members in monitoring the flow of information and to ensure that information is accurately maintained.

Essential Duties and Responsibilities

• Principle coordination of Medical Staff Services, Physician Recruitment, Graduate Medical Education and the Quality department.

• Responsible for activities related to recruitment of physicians and other licensed independent practitioners to both the community and the hospital.

• Maintains records, reports and files for documentation related to providers

• Manages special projects, or perform related duties, as may be assigned.

• Establishes and fosters positive physician relations to achieve OGHS' goals.

• Financially evaluates new or existing operating programs related to areas of responsibility.

• Develops, secures approval of, and administers policies, procedures, and budgets necessary to achieve agreed-upon goals and objectives for applicable department.

• Participates in various institutional committees.

* Plans and implements strategies and processes to maximize efficiency and meet objectives

• Organizes the functions of the department and allocates use of available resources

• Helps monitor provider performance including goal setting and performance reviews

• Enforces department policies and practices

• Coordinates financial and budget activities for maximum operational efficiency within the department

• Facilitates the preparation and analysis of reports

• Possesses strong oral and written communication skills to communicate with healthcare administrators, providers and staff members.

• Helps to organize all Medical Staff Committee meetings including scheduling, entering food and room setup request

• Helps in notifying committee members and ancillary staff, completing / coping packets as well as recording and typing minutes.

• Attends all required Medical Staff Committee meetings.

• Continuous electronic file maintenance of meeting attendance for the Medical Staff.

• Works to assure that all information regarding the committee meetings is accurate and entered correctly on a timely basis, enabling the Medical Staff Office to be prepared and in compliance with JCAHO standards.

• Maintains open communication with the Medical Staff, Administration, Hospital Departments and practitioner’s office staff.

• Responsible for engaging with physicians by communicating educational opportunities and other informative correspondence

• Responsible for coordinating with marketing a physician recognition program and physician newsletter on a routinely scheduled monthly or quarterly basis

• Responsible for learning and assisting the Medical Staff Credentialing Coordinator to maintain a working knowledge of the Joint Commission Standards to assure compliance. State and Federal regulations related to Medical Staff organizations and ongoing knowledge of Bylaws, Rules & Regulations.

• Assists in the development and maintenance the complete onboarding process of all providers by coordinating the contractional information, credentialing packets for medstaff and billing, producing the training schedules and orientation materials for new medical staff appointees.

• Good organizational skills to prioritize responsibilities as well as good computer skills as necessary

• Exhibits a high degree of responsibility for confidential matters and materials. ·

• Assists in the maintenance of confidential credentials files and electronic medical staff database.

• Coordination of Unassigned Call Schedule as needed, checking mail, faxes and other correspondence directed to the Medical Staff Office. ·

• Cross trains in other work areas as necessary.

• Answers administrative telephones, screens and routes calls

• Works closely with locums companies to ensure coverage as needed

• Maintains complete files on all providers

• Assist in monitoring of provider benefits such as PTO, CME account and days.

• Assist in ensuring all provider licensing is maintained.

Education: Bachelor's degree in Business, Hospital Administration or related field preferred.
