Job Description:

Job Summary:
This position integrates administrative duties with advanced financial, compliance, and vendor management responsibilities. It serves as a liaison between Public Affairs and key stakeholders, ensuring regulatory adherence, financial accuracy, and operational efficiency. The Public Affairs Finance & Compliance Specialist streamlines processes, supports compliance efforts, and enhances financial reporting to meet organizational objectives.

Responsibilities:

Financial and Compliance Management:Maintain vendor documentation, including W-9s and ACH forms.Handle journal entries, reclassifications, accruals, corrections, and reconciliations.Ensure compliance with financial and regulatory standards.Invoice and Payment Oversight:Process invoices through Coupa, resolve payment issues, and maintain an accurate invoice tracker.Monitor and escalate payment delays as needed.Vendor Relations:Onboard new vendors and manage duplicate records.Transition vendors to ACH payment for efficiency.Reporting and Charge Memo Preparation:Generate monthly financial reports and charge memos for Public Affairs stakeholders.Analyze data to support accurate reporting and decision-making.Administrative Duties:Order supplies, manage subscriptions, and oversee conference room schedules.Track Congressional packages and coordinate office shipping tasks.Provide calendar and travel support to Public Affairs leaders.Manage expense reports and coordinate office audits.

Qualifications:

Bachelor’s Degree or International equivalent – Preferred.Proficient in Microsoft Office Suite (Word, PowerPoint, Excel).Experience with financial systems such as Coupa or similar platforms – Preferred.Knowledge of compliance requirements and financial reconciliation processes.Strong organizational and analytical skills with attention to detail.Ability to manage multiple responsibilities and prioritize effectively.
