Position Title: Pupil Services Coordinator
New Directions is looking for a Pupil Services Coordinator to help keep our school running smoothly! In this role, you’ll handle office tasks, keep track of student records, assist with budgeting and payroll, and work with HR on hiring and paperwork. You’ll also support special education services, manage student info systems, and help keep everything organized for staff and students. Pay and benefits
+ 120 hours of paid time off your first year, not including an additional 13 agency holidays.

+ $17.75/hr - $19.25/hr your first year. Additional raises guaranteed.

Minimum Education and Skills
+ Bachelor’s degree or equivalent from a 4-year college or technical school; and Minimum six months related experience. or
+ Equivalent combination of education an experience, for example 5 years of paid experience.

Full Job Description Job Title: Pupil Services Coordinator Department: HGLCS Title of Immediate Supervisor: Principal POSITION SUMMARY: Assist the Education Administration personnel maintain the fiscal, personnel and educational responsibilities pertaining to the operation of the campus school(s). TYPICAL RESPONSIBILITIES/DUTIES: 1. Responsible for opening the building and the management of office duties: reception, telephone communication, copying, distribution and mailing of reports, memos, schedules, and letters as required by Principal and/or Assistant Principal(s). 2. Orders and maintains budget approved supplies needed by Campus school staff. 3. Maintains a record of and distributes all budget-approved supplies and materials. 4. Maintains a running record and balance of school operating budget for Principal. 5. Provides reports, purchase orders and required documentation to NDYFS budget department as required 6. Maintain a census of student population for both school age and preschool program to coordinate with finance for billing purposes. 7. Payroll responsibilities including but not limited to maintaining staff attendance record for principal, classroom coverage and accurate staff allotted time and pay 8. Maintains school petty cash/funds used for school events and fundraising 9. Coordinator with Human Resources during the hiring process including but not limited to liaison regarding new hiring required paperwork, reference checks, staff/student management system access, and school staff orientation on-boarding 10. Coordinating with Human Resources/Health services for all school employee HR/health paperwork i.e. PFL/FMLA 11. Assists Human Resources Department, Corporate Compliance and School Administration to maintain school policy manual, student handbook and other NDYFS agency policies. 12. Assists Principal and/or Assistant Principal with Agency personnel protocols and files. 13. Generates and Compiles data from a variety of sources (calendars, meetings, etc.) for the purpose of complying with financial, legal and/or administrative requirements. 14. Using eSchool to prepare transcripts, generate student academic records, 5-week progress reports and quarterly report cards. 15. Assist the School Administration in generating, maintaining, and retrieving student information file(s) including all relevant academic and behavior records. 16. Maintain master schedule for the regular school and summer school, communicate this information on a regular basis with school staff and eSchool staff. 17. Using eSchool, Frontline (IEP Direct) and spreadsheets to create and maintain a student management system that tracks demographic information, special education information, education information from previous academic institutions including grades and transcript information, and student behavior incidents. 18. Assist school counselor in contacting school districts if additional information is needed for new/entering students. 19. Using eSchool to prepare transcripts, generate student academic records, 5-week progress reports and quarterly report cards. 20. Assist the School counselor, Assistant Principals and the Principal in generating, maintaining and retrieving student information file(s) including all relevant academic and behavior records. 21. Assist the CSE/CPSE chairperson in generating and producing assessment forms, agendas, invitations, Individualized Education. Plans (IEPS) and correspondence necessary for the operation of the Committee on Special Education (CSE) and the Committee on Preschool Special Education (CPSE). 22. Maintain a spreadsheet of all student services scripts and assist in the preparation of scripts as needed by the CSE/CPSE chairperson. 23. Submits prepared Medicaid documentation for preschool student/school age reimbursement to Finance Department. 24. Compile all student intake materials, inputting information into electronic management systems and school e-files. 25. Maintain roster for current school year records and roster of students approved for/attending summer school. 26. Updates and maintains required agency system data entry and forms required between the school(s) and Residential, Quality Assurance and Maintenance departments 27. Tracking and maintaining school, student, and classroom equipment/electronics. 28. Update demographic and school year information in advance of CSE/CPSE annual reviews. 29. Assist the CSE/CPSE Chairperson maintain a CSE/CPSE meetings and student re-evaluation calendar. 30. Assist Principal and Assistant Principal communicate student testing information/BOCES schedule(s) to district transportation. 31. Attend all mandatory in-services training and regularly attend supervision meeting. 32. Attends other training and in-services as needed to maintain a level of expertise in the field. 33. Supervise senior clerk and assumes duties when necessary. 34. All duties as assigned by immediate supervisor. Minimum Education and/or Professional Qualifications/Skills
