The Purchase Manager’s core responsibilities are to ensure the smooth and efficient operation of the Purchasing Department, procure the items required by the Management at a market competitive price without compromising on quality.

What will I be doing?
\nAs the Purchase Manager, you will be responsible for performing the following tasks to the highest standards:
\n\nMaintain a high customer service focus by approaching your job with the customers always in mind and being proactive in a timely manner towards their needs and requests of customers. \nHave a positive impact, take ownership and initiative to resolve issues, always clearly communicating with both customers and colleagues. \nTo be motivated and committed, approaching all tasks with enthusiasm and seizing opportunities to learn new skills or knowledge in order to improve your personal performance. \nTo be flexible, responding quickly and positively to changing requirements including the performance of any tasks requested of you. \nMaintain high team focus by showing co-operation and support to colleagues in the pursuit of team goals. \nContribute ideas and suggestions to enhance operational / environmental procedures in the hotel. \nActively promote the services and facilities of Hilton hotels to guests and suppliers of the hotel. \nPerform all duties and responsibilities in a manner that ensures your safety and that of others in your workplace. \nContribute positively to equilibrium and esprit by providing both guests and team members with courteous, hassle-free service and by seeking to always maintain a pleasant working environment. \nUpdate the purchase order procedures and brief the team accordingly so that all team members are aware of the limits, approvals and purchase flow. \nEnsure that proper purchasing procedures are in place, with purchase orders placed only by the Purchasing Department after due authorization by the Management. \nEnsure that competitive quotes are obtained as per policy. \nReview all purchase requests and purchase orders processed by each department. \nConduct market price surveys in coordination with the Director of Finance and Executive Chef on a regular basis. \nEnsure that price comparisons amongst other hotels are done on a regular basis. \nEnsure that all efforts are exhausted in obtaining the best possible quotations. \nMaintain good relations with all hotel departments and suppliers. \nEnsure that all unmatched / open Purchase Orders are investigated, and proper action proposed and taken on a regular basis. \nAssist in the preparation of month end reports and other ad hoc reports that may be required from time to time. \nEnsure familiarity and adherence to any national or global purchasing agreements are in place. \nUndertake analysis of proposals when required and provide recommendations to the Finance Manager. \nEnsure that all month end procedures are strictly followed, and deadlines are met. \nAssist the Executive Chef in ensuring that food cost is kept to a minimum. \nFamiliarize with all emergency procedures. \nMaintain an adequate and up to date filing system. \nLiaison with related government departments for the Animal & Plants Inspection, Wine & Tobacco License, and the Customs, etc. \nPrepare a purchase order’s outstanding list for month end purposes. \nEnsure all documentation (purchase orders, invoices, delivery dockets, etc.) is forwarded to Accounts Payable on a timely basis. \nConduct regular vendor visitations for high-risk suppliers. \nFlexible in relation to work hours, especially during month end and stock take. \nMinimize the risks of accidents and workers compensation costs by ensuring the correct work practices are used and that the area is safe from hazards. \nHandle all requests and enquiries in a timely, efficient and friendly manner. \nStrictly follow the code of conduct. \nThe Management reserves the right to change / extend this job description if necessary, at any point of time during her / his employment. \nCarry out any other reasonable duties and responsibilities as assigned. \nWhat are we looking for?

\n\nCollege graduate. \nAt least 2 years of working experience as Purchasing Manager in the hospitality industry. \nHighly proficient in Microsoft Excel, Word and the hotel inventory / purchasing software. \nAbility to lead, provide guidance and develop team members. \nKnowledgeable of supplies. \nMature and reliable. \nGood command of both written and verbal English to meet business needs. \nPrior experience in related work preferred. \nAbility to be resourceful, creative and maintain flexibility. \n\n\n
