Purchasing Analyst

Savor...San Francisco, Catering by ASM Global, the leader in privately managed public assembly facilities has an excellent and immediate opening for a Purchasing Analyst at the Moscone Center.
 

POSITION SUMMARYLiaison to Sales department and Culinary, required to source new vendors, items and ingredients, ascertain costs for recipes provided by Culinary, maintain items and recipes in F&B material maintenance software, and assist Purchasing Director as needed.

RESPONSIBILITIES

Not limited to:

Issues, receives, properly stores and controls of all F&B products and inventory.Creates issue and transfer requisitions for product leaving kitchen/warehouse, as well as product returning from Operations.Alerts Purchasing Management of:Post-event overstock products that need to be returned to vendor.Any product shortages, replacements, & returns daily.Informs Purchasing Director as to changes in market conditions, prices, products in season, etc.Works with Sales, Purchasing, Retail, and Culinary departments to:Source new items and ingredients when asked.Provide cost, lead time, order minimums and other pertinent information for new items.Obtain samples of items with cost upon request to management (excludes Purchasing Dept).Obtain new recipes from Culinary in order to provide costs (excludes Purchasing Dept).When necessary to the sourcing of new item-- find new vendors, confirm initial item cost, and ensure that all credit applications, W-9’s and other forms required by the Accounting department are forwarded in a timely manner (prior to initial order).Tracks “food miles” for certain events, determining the distance from production to delivery of items purchased.Maintains material maintenance software (CBORD or EATEC).  Includes:Correcting database item unit and cost inaccuraciesCreating new items and vendors, maintaining consistency and integrity of all items and recipes in database.Recording all purchases from invoices into CBORD, reconciling purchase orders to invoices, getting invoices coded & approved, and delivering to accounting department daily for the previous day’s work.Creates and enters daily, monthly and pre & post-show inventories, as well as ensures their accuracy.Directly responsible for counting and insuring correct cost attribution on all products in F&B monthly inventory, as well as variance explanations.Provides administrative support to the Purchasing Director and team.  Assists with scheduling/coordinating appointments, taking messages, proofing inventories, and creating/processing purchase orders/invoices as needed.Attends Page by Page meetings.Enforces company and industry sanitation and safety standards.Ensures all designated Purchasing areas meet and exceed Serv-Safe standards daily.

SUPERVISORY RESPONSIBILITIES

Supervising union catering employees and seasonal on call supervisors

QUALIFICATIONSBachelor’s degree (B.A.) from four-year college or university, or minimum two years related experience and/or training in a culinary/purchasing/hospitality sales environment; or equivalent combination of education and experience.Must be creative at sourcing product and able to take initiative with suggesting alternative choices based on sales manager/client requests.Expertise in using office software including Excel, Word and Adobe Acrobat.  Must be able to learn and use/maintain our material maintenance software (CBORD or EATEC) and any other purchasing software.Must be able to take initiative and communicate product availability, lead times, cost, and transport method upon request from all departments.Good communication skills, especially in regards to:Reading, analyzing and interpreting general business periodicals, professional journals, technical procedures, or governmental regulations.Writing reports, business correspondence, and procedure manuals.Effectively presenting information and responding to questions from groups of managers, clients, customers and the general public.Interpreting a variety of instructions furnished in written, oral, diagram or schedule form.Ability to calculate amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization existsUnion experience a plus

Hourly Salary Range: $30-$35/hour
