This role is based at our current HQ in Bloomington but will move to Eagan in 2025 *** ROLE AND RESPONSIBILITIES Responsible for the administration support related to purchasing materials, subcontract services and vehicle/fleet management. This position works directly with a variety of individuals and departments, including purchasing, fleet, logistics and project management. + Works with purchasing and project managers for project-specific purchase order and subcontract administration support. + Performs data entry, tracks purchasing request and transmits new purchase orders and change orders to vendors using Spectrum and Remarcable software. + Performs data entry and tracks relevant documents (COI’s, signed contracts, and lien waivers) related to subcontracts and change orders to vendors using Spectrum and Remarcable software. + Assists Purchasing with material order tracking and expediting of shipments. + Supports and tracks documents related to setting up new vendors and vendor file updates (new vendor form, W9’s, and COI’s.) + Takes direction from Tax Accountant to successfully complete tax exempt certificates to provide to vendors when applicable and maintains internal filing system. + Communicates proactively to address and solve issues as they arise. + Manage disadvantaged business certificates and status changes. + Assist Fleet Specialist with scheduling and coordination of vehicle repairs, maintenance, fit out, DOT/licensing, etc. + Supports administrative tasks related to fleet and logistics using Spectrum, remarkable, WEX, Truce, and manifesting software. + Supports Assistant Buyers and Buyers on an as needed basis. + Works in tandem with Accounts Payable to address accounting related issues. + Adheres to purchasing policies, processes, and procedures. QUALIFICATIONS AND EDUCATION REQUIREMENTS + High School Diploma or Equivalent. + 3 years of experience or education in vendor relations, purchasing, or a related field preferred. + Knowledge of electrical industry, equipment, supplies and materials. + Excellent customer service and organizational skills. + Intermediate proficiency in MS Word, Excel and Outlook. + Demonstrates open, honest, and respectful written and verbal communication. + Adaptable to changing priorities and demonstrates a flexible and collaborative work style. + Builds collaborative relationships with colleagues and customers from diverse cultures, viewpoints, and backgrounds. + The individual works effectively within a team structure and can negotiate and manage conflict and change with respect for others. + Negotiation skills or experience preferred. PHYSICAL REQUIREMENTS + This job operates in a professional office environment. + This role routinely uses standard office equipment such as computers, phones, filing cabinets, scanners and fax machines. + Employees are frequently required to sit, and occasionally required to kneel, reach, stoop, crouch or crawl. + This position requires the ability to lift files, open file cabinets, and bend or stand as necessary. + This position may occasionally lift up to 10 pounds.
