Job Overview:
The QA/QC Specialist role will oversee the accuracy, completeness, and compliance of timekeeping entries for payroll. This position will coordinate closely with field timekeepers, payroll processors, and project management teams to ensure alignment with contractual obligations and labor laws.
PRIMARY JOB RESPONSIBILITIES:
Quality Assurance and Compliance Monitoring: Execute of daily/weekly QA/QC audits of time entries, ensuring adherence to established guidelines and procedures. Verify that recorded hours align with approved schedules, job classifications, and cost codes, addressing any inconsistencies. Ensure compliance with company timekeeping policies, union agreements, and relevant labor laws. Discrepancy Resolution: Investigate and see resolution of discrepancies in time entries, including missing hours and unauthorized overtime. Collaborate with Labor Compliance team, site supervisors, project managers, and payroll processors to rectify errors in a timely manner. Escalate unresolved issues to QAQC Supervisor as necessary and ensure they are documented and tracked. Training and Development: Develop training materials and deliver workshops for timekeepers and project teams to improve accuracy in time entry. Communicate changes in timekeeping policies and procedures effectively to all relevant personnel. Identify skill gaps within the team and propose training solutions to enhance capabilities. Audit and Reporting Management: Prepare comprehensive reports on timekeeping QA/QC findings, highlighting trends and areas for improvement. Maintain accurate records of audits, corrective actions, and training provided, ensuring compliance with internal policies. Collaborate with internal auditors and compliance teams to support payroll practice reviews. System Management and Process Improvements: Work with IT, Labor Compliance and payroll teams to identify and implement enhancements in timekeeping systems for improved accuracy and efficiency. Participate in testing for new software implementations or upgrades related to timekeeping and payroll functions. Monitor data transfers between timekeeping systems and payroll to ensure seamless integration and accuracy. Compliance and Risk Management: Ensure all timekeeping data complies with federal, state, and local regulations, as well as company-specific requirements. Proactively identify and mitigate risks related to inaccurate time entries, implementing corrective actions as necessary. Assist in developing and implementing risk management strategies to address issues highlighted in audits or reviews.
EDUCATION & EXPERIENCE REQUIREMENTS:
Bachelor’s degree in Accounting, Finance, Business, or a related field preferred not required. 2+ years of experience in payroll, timekeeping, or related QA/QC roles Strong understanding of timekeeping systems, union contracts, and wage/hour compliance. Familiarity with payroll processing systems (e.g., Viewpoint Vista, ADP, Oracle) and ERP systems. Excellent analytical, problem-solving, and organizational skills with attention to detail. Strong leadership and communication skills for effective team management and collaboration. Expereince in Timekeeping and Payroll Systems Proficiency in Data Validation and Auditing Strong Problem Solving and Discrepancy Resolution Abilities Training Development and Delivery Report Generation and Process Improvement Skills
