HDR is hiring a Quality Records Coordinator for our Florida Architecture Group in Tampa. The purpose of this position is to support the day-to-day facilitation of the quality process in the Florida architecture group.
Primary Responsibilities
Serve as the local representative within the Area for the Quality Office and support the development and implementation of the organizations Quality Management System (QMS).Act as an advocate for Quality to the studio – train and communicate to staff in a way that focuses on the value and intent of quality management.Provide guidance to Project Managers regarding development of project plans (e.g., Project Management Plan, Quality Management Plan).Assist project teams in adhering to corporate quality standards and conduct quality assurance/quality control reviews. Respond to staff questions or issues related to policies and procedures related to the organization’s QMS.Maintain project files in accordance with corporate standards and project document control systems. Tasks may include prepping, organizing, filing and archiving documents. Assist project managers in coordinating subconsultant agreements and invoicing, along with collection of required subconsultant documents ahead of agreement execution. Assist project managers in maintaining and updating project schedules and facilitating monthly project reviews, documenting reviews in internal software on monthly basis, and perform internal quality audits to maintain policy adherence.Regularly report studio QMS implementation and audit resolution strategies to the Managing Principal and Regional Quality Director.Develop and update local studio processes through collaboration with studio stakeholders, which supports implementation of QMS requirementsAssist project managers in coordinating communication with multiple project team members, including individuals located in other HDR offices and consultant offices. Schedule, coordinate and provide administrative support to internal teams and external client meetings. Tasks may include scheduling meetings, reserving conference rooms, taking and distributing meeting minutes, and coordinating catering services.Provide support for staff with Newforma and eBuilder Construction Contract Administration scope of work.Work with new employees in on-boarding and awareness of the HDR QMS and its role in our organization.Executes special assignments under direction of the Project Managers with minimal supervision.Prepare letters, memos, and reports, set up meetings, perform light accounting and other miscellaneous tasks as requested.Preferred QualificationsEmbrace the HDR brand promise and valuesMust execute work in a professional and ethical direction for the company and staffAssociate's or Bachelor's degree in Business Administration or related fieldStrong attention to detailUnderstanding of Newforma and eBuilder softwareProfessional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environmentKnowledge of A/E industryExperience working in an office environmentStrong preference given to local candidatesRequired QualificationsA minimum of 3 years in similar consulting industry.Ability to develop an understanding of QMS fundamentals.
