Radiology Administrative Assistant/Database Specialist

MAIN FUNCTION: The Radiology Administrative Assistant/Database Specialist provides direct administrative support to the Director of Radiology, Cardiology/Neurology.  Responsibilities in this position includes: 
• The arrangement, coordination, and preparation of meetings, conference calls, and other events
• The preparation of meeting agendas, meeting paperwork, and the  publication of updated databases as well as agendas for weekly Team Leader meetings.
• Accurately updates and maintains the Director’s complex Outlook schedule.  
• Responsible for the creation, data management and outcome reporting of Excel databases and reporting tools as well as the updating, archiving, and publishing of departmental policies and procedure manuals.
• Assists the Department Director with the uploading of budget data to the Hospital's Financial Management system; Monthly prints departmental budgets for the Director’s review. Prepares and creates PowerPoint presentations with department Director as needed.  
• Facilitates and organizes collegiate orientation sessions as well as tracks  collegiate orientation and onboarding paperwork.
• Scans and maintains electronic staff credentialing, education, and employee personnel databases.
• Responsible for the collection, logging, scanning, and filing of monthly departmental physics testing, Quality Control , quality assurance, and quality indicators for Radiology, Cardiology, the Hewitt Center for Breast Wellness, the Griffin Imaging & Diagnostics Center at Ivy Brook, and Quarry Walk.
• Maintains filing and tracking of all ACR/IAC, service contract, staff competency as well as on going staff education for Radiology, Cardiology, the Hewitt Center for Breast Wellness, the Griffin Imaging & Diagnostics Center at Ivy Brook, and Quarry Walk.

EDUCATION:  A.S Degree in related field required, B.S Degree preferred. Medical Terminology required. Microsoft Suite Proficiency. Excellent typing skills required. Excellent Excel skills required. 

EXPERIENCE: Strong Administrative Assistant experience required; high level computer proficiency required, including advanced knowledge of Microsoft Office,  including Word, Excel, PowerPoint, Outlook, and Publisher.

PHYSICAL DEMANDS/WORKING CONDITIONS: Ability to function under time pressure demands is required. Position requires substantial eye-hand and gross body coordination skills; extensive walking.  Position requires the ability to concentrate on details in spite of interruptions and attend to detailed tasks for more than 30 minutes at a time. A high level of focus and attention to detail is required. Low error rates are expected.   Individuals must be able to understand and relate to complex tasks as well as  remember, transition to and from as well as execute multiple tasks in short periods of time.
