We are looking for a highly skilled and motivated Real Estate and Facilities Project Manager to lead and oversee exciting real estate projects from start to finish. In this role, you will be responsible for ensuring projects are delivered on time, within budget, and to the highest standards, all while collaborating with key stakeholders such as contractors, architects, and internal teams. You'll play a crucial part in shaping the success of our real estate initiatives and assisting with strategic lease negotiations. Working closely with the Director of Facilities, you will ensure that each project aligns with our broader business goals and contributes to the growth and success of the organization. A Day in the LifeThe Project Manager will be responsible for developing detailed project plans, including timelines, resources, and milestones, while coordinating with internal departments, architects, contractors, and vendors to ensure all project requirements are met. This role involves monitoring project progress and making necessary adjustments to ensure successful completion. The Project Manager will also manage project budgets, tracking expenses and preparing financial reports to keep stakeholders informed. In addition, the role requires performing office condition assessments to inform long-term planning and capital upgrades across various categories such as paint, carpet, and furniture.
As the primary point of contact for all project-related inquiries, the Project Manager will facilitate communication between internal teams, external contractors, and stakeholders to ensure alignment throughout the project lifecycle. This position includes overseeing the quality of work performed by contractors and vendors, conducting site visits to monitor progress, and ensuring compliance with local, state, and federal regulations. Risk management will also be a key responsibility, with the Project Manager identifying potential risks to timelines, budgets, and quality, while developing strategies to mitigate any issues.
The role requires providing regular updates on project status, including progress, budget, and risks, while preparing detailed reports for the Director of Facilities and other stakeholders. Additionally, the Project Manager will support real estate procurement and analysis by researching and providing recommendations for potential office sites, coordinating site tours with stakeholders, and developing budget terms for new office analyses. Facilities management will involve coordinating with vendors for routine maintenance and emergency repairs and assisting with the development of capital and expense budgets based on needs analysis.
Finally, the Project Manager will be involved in lease management, including the negotiation and production of leases and related documents, working with outside legal counsel as necessary, and contributing to long-term lease strategies and cost-saving initiatives for firm offices.
We Know YouThe ideal candidate will have a Bachelor’s degree in Real Estate, Construction Management, Engineering, Business Administration, or a related field. With 3 to 7 years of experience in real estate project management, the candidate should demonstrate a proven track record of successfully managing projects from inception to completion. Strong project management skills are essential, including the ability to juggle multiple projects at once, and supervisory experience is preferred to oversee vendors and potentially manage internal direct reports. Excellent communication and interpersonal skills are critical for effectively managing relationships with a diverse range of stakeholders.
The candidate must also possess strong organizational skills, attention to detail, and proficiency in project management software and tools, such as Excel. Critical thinking and problem-solving abilities are key, with a deep understanding of the financial, timeline, and personnel impacts of each project.
In terms of working conditions, the role requires monthly travel to various project locations. The candidate must be able to conduct site visits, inspect project progress, and navigate construction sites, which may involve standing for extended periods. The standard work schedule is from 9:00 a.m. to 5:30 p.m., but flexibility is required as projects or facility issues may occasionally require after-hours or weekend work.
