The receptionist will provide clerical support and is responsible to answer telephones, greet guests, respond to residents' requests and assist in coordination of services to residents, assist in providing services to residents, families and guests. The receptionist also will assist recreation with programs.
ESSENTIAL JOB FUNCTIONS
· Answer all incoming calls, screen calls, record messages.
· Assist staff in providing and coordinating services to residents, families and guests.
· Receive and direct all visitors.
· Maintain an orderly lobby area.
· Receive and deliver all mail and packages.
· Create work orders for maintenance.
· Provide word processing support to staff.
· Maintain program files as directed.
· Complete reports as directed.
· Create signs, posters and informational materials as directed.
· Copy materials as requested.
· Manage postage machine.
· Receive payment for housing and services.
· Provide assistance with programs as directed by recreation manager.
· May be required to phone 911 or Central Station when handling emergencies.
RequirementsQUALIFICATIONS: Must be familiar with clerical practices, office procedures and automated equipment. Excellent phone etiquette and communication skills are required. Must be customer service oriented and driven. Ability to work with a computer using keyboarding, data entry and reporting skills is required. Valid New York State driver’s license with a clean driving record.A minimum completion of a high school diploma is required. A minimum of 1 year related experience as a receptionist or in a customer service role is preferred.

Performing duties of this job requires occasional walking and standing in and around the reception area, and lobby. Must be able to occasionally lift loads of 30 pounds without assistance and the ability to sit, talk, and hear is required. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, color vision, and the ability to adjust focus.

The majority of essential job duties are performed indoors, in a normal office environment. Being located at the main entrance of the building may expose the employee to drafts and temperature fluctuations.
SUPERVISORY RELATIONSHIP: The work is performed within established guidelines, and requires periodic supervision. The employee exercises some initiative and independent judgment to effectively perform the essential job duties of this position.
RESPONSIBILITY FOR OTHERS: The employee has no direct responsibility for others. Will be required to assist in training all new relief and per diem receptionists.
SAFETY RESPONSIBILITIES: Shall be fully acquainted with all safety policies and procedures of Brentland Woods. Takes an active role in all fire drills during the shift and/or emergencies for internal and external disasters as monitored by supervisor and incident manager. Must comply with facility in-service requirements.
