Job Summary:
As a Receptionist, you'll be responsible for upholding professionalism in the office while answering a multi-line phone system, welcoming and guiding visitors, and ensuring visitor confidentiality. Your role will also involve enhancing office efficiency, maintaining functionality, and creating an organized and enjoyable working environment. You will assist in coordinating daily tasks to facilitate smooth service delivery. Our ideal candidate is detail-oriented, possesses excellent communication skills, and is adaptable to job demands while maintaining a positive attitude in the workplace.

Answer the multi-line phone system and appropriately direct calls as requested.Maintain visitor and staff sign-in records.Ensure the entryway remains free of congestion.Welcome office visitors in a cordial manner.Assist with billing functions and maintain filing of persons served.Conduct filing as requested and manage office supply stock.Receive, sort, and distribute incoming mail and parcels.Send outgoing faxes and distribute incoming faxes in a timely manner.Prepare meeting rooms, including scheduling and stocking of refreshments.Order and maintain shared resources and technology within the facility.Work collaboratively with other Administrative Team members.Adapt to job demands and perform additional functions upon request.Knowledge, Skills, and Abilities:
Reliable method of communication.Clear and legible writing skills.Attention to detail is essential.Ability to understand and follow instructions and memos.Proficient in presenting information in one-on-one and small group settings.Familiarity with database, spreadsheet, and word processing software.Skilled in managing various personalities and situations.Excellent time management and organizational abilities.Comfortable operating different office equipment.Understanding of confidentiality, professional ethics, and a code of conduct.Experience and Education Qualifications:
High School Diploma or equivalent required.1-2 years of receptionist and/or office setting experience preferred.Proficient in advanced Microsoft Office applications (Outlook, Word, Excel, PowerPoint, OneNote, SharePoint) and various video/web conferencing platforms (Zoom, Teams, GoToMeeting).Supervisory Requirements:
