Receptionist

Position Summary:

Operates multi-line telephone system to answer incoming calls and directs callers to appropriate personnel. Greets guests and visitors to the lobby and helps them with their visit. Distribute mail, manage general corporate mailbox

Essential Functions:

Answers incoming telephone calls, determines purpose, and forwards to appropriate personnel or department using excellent customer service skills. 

Retrieves messages from main voice mail and forwards to appropriate personnel. 

Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

Welcomes lobby visitors, determines nature of business, and announces visitors to appropriate personnel. Monitors visitor access when required.

Answers basic questions about organization and provides callers with address, directions, and other information.

Receives and processes incoming US mail and packages to appropriate individuals and departments for receiving and routing on a daily basis. 

Prepares outgoing mail and packages to meet specific carriers requirements (USPS, UPS, FedEx, etc.).  Maintains postage fund on postage machine.

Maintains fax and other business machines (i.e. printers, copiers), assists users, sends faxes, and retrieves and routes incoming faxes.

Responsible for printing nameplates and other clerical duties such as filing, photocopying, and collating as directed by the Operations team.

Maintains various employee phone lists for use by internal staff. Manages public e-mail in-boxes and routes information as needed.

Coordinates other services as necessary such as employee car wash service and dry cleaner.

Perform duties in compliance with applicable FDA and state regulations as well as standards including, but not limited to, ISO 13485.

Adheres to the letter and spirit of the company Code of Conduct, the AdvaMed Code, MedTech Code, and all other company policies.

Ensures Compliance with applicable governmental laws, rules, and regulations, both in the United States and internationally, by completing introductory and annual training and maintaining knowledge of compliance as it applies to your role

Represents the company in a professional manner and uphold the highest standards of ethical business practices and socially responsible conduct in all interactions with other employees, customers, suppliers, and other third parties.

Qualifications:

High school diploma or G.E.D. required and one to two years related experience and/or training; or equivalent combination of education and experience.

Proficient and accurate with Word and Excel.  Competency in navigating the Internet.

Ability to read and interpret documents such as safety rules, company policy and procedure manuals. 

Ability to write business reports and correspondence. 

Ability to speak effectively to individual customers and employees.

Ability to calculate figures and amounts such as discounts, interest, proportions, percentages.

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. 

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Physical Demands: .

While performing the duties of this job, the employee is regularly required to sit and talk or hear.  The employee is occasionally required to walk and reach with hands and arms.

The employee must occasionally lift and/or move up to 10 pounds.  Specific vision abilities required by this job include close vision and the ability to adjust focus.
