We are looking for a Receptionist for our Integrated Facilities Management business line.

Location: SAP CR, Brno, Czech Republic

Role Purpose

We currently have an exciting opportunity for a Receptionist. The successful candidate will get the opportunity to meet a variety of people and gain experience in a professional environment, affording them the opportunity to hone and develop their skills in facilities management.

What this job involves

Greet and welcome guests as soon as they arrive at the officeNotify company personnel of visitor arrivalSupport for colleagues and other departmentsAnswer, screen and forward incoming phone callsEnsure reception area is tidy and presentable, with all necessary stationery and materialReceive, sort and distribute daily mail/deliveriesMaintain office security by following safety procedures and controlling access via the reception desk (issue employee, visitor, contractor badges)Order front office suppliesPrepare meeting roomsProvide front of house and reception services for the client directly.Handling the client’s reception duties with care, commitment and always in a courteous manner.Managing and responding to the client’s customer’s requirements and requests to ensure a high level of customer support to the JLL clientsTelephone enquiries (internal & external)Distributing calls throughout the building, taking messages if necessary and e-mail relevant individuals without delayHandle couriers and post deliveries and collectionsKeep reception area neat and tidyCheck e-mails react accordinglyBook taxis in line with the client’s policy and proceduresEnsure all activities are carried out are in accordance with Health and Safety policiesManage client requests via the ticket’s system in placeSupport with eventsNote in exceptional circumstances there may be a requirement to assist with other ad hoc duties for the client off reception

Specific Duties not covered above:

Ordering couriersRegister incoming packages at the courier and in the local registry booklet / tablet, then send an email to the recipient employeeIssuance of packages and lettersKeeping outgoing and incoming mail in a spreadsheet (excel)Check the list returned from the post officePreparing invoices for sendingReceipt, handling, registration and storage of office suppliesOffice supplies warehouse managementCreating a badge for guests, registering and accompanying them on arrival (if necessary)Booking of meeting roomsConfidential document container replacingOrder paper and envelopes to copy roomsReplacement of flipchart paper, whiteboard, felt-tip pen, clearing of whiteboard in the meeting rooms
