ReceptionistOverview:
We are seeking a professional, friendly, and organized Receptionist to be the first point of contact for our company. The ideal candidate will have excellent communication skills, a welcoming demeanor, and the ability to multitask in a fast-paced environment. As the face of the company, the receptionist will greet visitors, answer and direct phone calls, handle administrative tasks, and support daily office operations.
Primary Responsibilities:Front Desk Management: Greet and welcome visitors in a professional and friendly manner, ensuring a positive first impression.Phone and Email Handling: Answer, screen, and direct incoming calls and emails to the appropriate departments or personnel.Scheduling & Appointments: Manage appointments, meeting room bookings, and maintain an organized schedule for staff as needed.Administrative Support: Assist with data entry, filing, document preparation, and other clerical duties as assigned.Mail & Package Handling: Receive, sort, and distribute incoming mail and deliveries while managing outgoing shipments.Office Organization: Maintain a clean and organized reception area and ensure office supplies are stocked.Customer Service: Assist visitors and clients with inquiries, providing accurate information about the company’s services or directing them to the appropriate personnel.Security & Visitor Management: Monitor access to the office, maintain visitor logs, and ensure proper security protocols are followed.Support to Staff: Provide administrative support to various departments, including preparing documents, managing correspondence, and assisting with office events.Additional duties as assigned.Supervisory Responsibilities:There are no supervisory responsibilities associated with this position.
Education and/or Experience:High school diploma or equivalent required, or two years of applicable administrative experience.Experience with Davis Bacon wages and Certified Payrolls preferredMust have experience following written proceduresKnowledge, Skills, and Abilities:Must have outstanding grammar skills and experience preparing written correspondenceMust be detail oriented, well organized, and be able to multi-taskMust possess excellent communication skills (verbal and written). Requires the ability to complete assigned tasks with limited supervisionMust be proficient with Microsoft Office Suite of products including, Word, Excel, and Outlook business softwareMust demonstrate a good attitude and ability to work as a member of a TeamPosition requires self-motivation and the ability to work effectively under a minimum of supervisionMust be able to multi-task efficiently, work in a fast paced environment on multiple projects, and have a strong attention for detailMust be able to type a minimum of 40-60 WPM accuratelyCertificates, Licenses, Registrations:None Required
