Administrative Assistant II
What You’ll Do
Greet and coordinate all guests to Solera corporate office including set-up of conference rooms and meetingsSupport Facilities team with administrative tasks such as tracking and maintaining filesWelcome clients, prospective candidates, and other visitorsCommunicate with vendors and schedule when needed Maintain security by screening, registering, and referring visitors to the appropriate personForward voicemails to the appropriate department Set up new employees with an employee access badgeAssist with ordering and maintaining office supplies for siteProvide administrative support to the management team of Real Estate operationsAssist staff in the implementation and organization of internal and building-to-building movesAssist with the initiation of purchase orders as requested by management or other involved partiesTake maintenance requests, distributing and closing out work orders as required; coordinate service requests as neededWork with Real Estate management to ensure completion of all special work projects as assignedResponsible for shipping, receiving, and distribution of external and inter-office packagesResponsible for sorting and sending out mail Maintain confidentialityPerform other duties as assignedWhat You’ll Bring
Any equivalent combination of education and experience which provides the applicant with the knowledge, skills, and abilities required to perform the job will be consideredHigh School Diploma or General Education Degree (GED)Minimum of 1 year of experience in similar reception and /or facilities roleMust have hands-on experience with MS Office applications (Word, Excel, and Powerpoint); knowledge of other software applications (Oracle) a plusMust be reliable and a team playerAbility to effectively communicate with all levels of the Company and general public, both verbally and in writingAbility to demonstrate a courteous, tactful, and professional approach with employees and external customers and vendorsAbility to accurately complete tasks/projects within allowed timeframesAbility to orchestrate multiple activities simultaneouslyAbility to perform special assignments as requested by managementAbility to efficiently organize, manage, and coordinate meetings and eventsAbility to work both independently and as part of a teamAbility to maintain confidentialityIt is impossible to list every requirement for, or responsibility of, any position.
