Description
+ Answering and Directing Calls: Operate a multiline phone system, screen and forward calls to the right personnel, and take detailed messages when necessary.
+ Administrative Support: Provide general administrative support, including data entry, scheduling meetings, and preparing meeting rooms as needed.
+ Mail and Package Handling: Receive and sort incoming mail and deliveries, as well as coordinate outgoing packages.
+ Front Desk Maintenance: Keep the reception area clean and organized to maintain a welcoming appearance.
+ Visitor Log Management: Maintain accurate records of guest logs, visitor badges, and office security protocols.
+ Supplies Management: Monitor and order office supplies to ensure availability of resources for staff and visitors.
+ Customer Service: Address visitor or caller inquiries with professionalism and escalate issues to the relevant team members or management.
Requirements
+ Professionalism: Strong communication and interpersonal skills to interact effectively with individuals at all levels of the organization.
+ Organization: Exceptional ability to multitask, prioritize, and manage time efficiently.
+ Technical Skills: Proficient in using office software (e.g., Microsoft Office Suite, Google Workspace) and office equipment (e.g., printers, fax machines, multiline phone systems).
+ Problem-Solving: Ability to remain calm and handle challenges with composure.
+ Flexibility: Willingness to adapt to changing tasks or priorities.
+ Experience: Prior experience in a receptionist, administrative assistant, or customer-service-oriented role is preferred.
+ Education: High school diploma or equivalent; additional certifications in office administration are a plus.
