Receptionist
Description We are actively seeking a Receptionist for our legal team located in Charleston, South Carolina. In this role, you will be the first point of contact for our clients and will be responsible for providing administrative support across the organization. You will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner. Responsibilities: • Efficiently manage a multi-line phone system, ensuring all calls are answered promptly and directed to the appropriate personnel. • Provide superior customer service, addressing client inquiries and resolving issues promptly. • Perform data entry tasks, updating and maintaining client records accurately. • Handle email correspondence professionally and in a timely manner. • Utilize strong interpersonal skills to interact with clients, staff, and management. • Use Microsoft Excel, Microsoft Outlook, and Microsoft Word to create and update documents and spreadsheets. • Organize files systematically, ensuring easy accessibility and retrieval. • Schedule appointments, managing the calendar to avoid conflicts and ensure efficient use of time. • Assist with legal tasks such as drafting legal contracts, managing legal correspondence, maintaining legal files, preparing legal forms, and understanding legal terminology. Requirements • Proficiency in answering multi-line phone system. • Demonstrated skills in customer service. • Capability to efficiently perform data entry tasks. • Experience with email correspondence. • Strong interpersonal skills to interact with clients and staff. • Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word. • Ability to organize files systematically. • Experience in scheduling appointments in a detail oriented setting. • Prior work experience as a legal assistant would be beneficial. • Familiarity with legal contracts and their management. • Experience in handling legal correspondence. • Knowledge of maintaining and managing legal files. • Ability to handle and process legal forms. • Familiarity with legal terminology.
