Receptionist
Description We are offering a contract to permanent employment opportunity for a Receptionist in the Legal industry, based in Milwaukee, Wisconsin. In this role, you will undertake a range of administrative tasks, client services, and office coordination duties, ensuring smooth operations and excellent service for both internal and external clients. Responsibilities: • Handle and route incoming calls, screening for relevance. • Greet clients upon arrival and direct them to the appropriate conference room. • Maintain and manage the conference room calendar, scheduling rooms for visiting attorneys as needed. • Monitor and maintain office supplies, replenishing stocks at copy stations when necessary. • Coordinate with HR & Facilities regarding access cards. • Assist in maintaining and organizing physical and electronic records, ensuring timely handling of internal requests. • Follow procedures for the proper creation, archiving, maintenance, relocation, and disposal of records. • Ensure the reception area is clean and well-organized, including refilling hand sanitizer stations and wiping down high-touch areas. • Assist with the preparation and mailing of invoices and other correspondence. • Coordinate inventory of office supplies and kitchen inventory, restocking delivered supplies as needed. • Manage pick-ups and deliveries, including sorting and delivering mail/packages. • Monitor the condition of office equipment and order service, parts, or refills as needed. • Support administrative and legal support teams with ancillary projects as required. Requirements • Minimum of 1 year experience as a Receptionist or similar role within a detail oriented environment, ideally within the legal sector. • Proven ability to manage a multi-line phone system and efficiently route calls. • Excellent customer service skills, with a focus on detail oriented, friendly communication. • Proficiency in data entry tasks, with a high level of accuracy and attention to detail. • Experience with email correspondence, including drafting, sending, and organizing emails. • Strong interpersonal skills, with the ability to interact effectively with all levels of staff and external contacts. • Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word. • Proven experience in organizing files, both digital and physical, in a clear and logical manner. • Demonstrated ability to schedule appointments, including coordinating schedules and managing calendar updates.
