Description We are seeking a detail-oriented and customer-focused Receptionist to join our team in the construction industry, based in a location in California. In this role, you will be expected to manage incoming calls, maintain customer records, and deliver exceptional service to our clients. This role also involves administrative support tasks and ensuring the efficient operation of our front desk.
Responsibilities
• Oversee the front desk by welcoming clients, guests, and vendors in a detail-oriented manner.
• Manage incoming calls, screen and direct them using a computer-operated switchboard system.
• Accurately transfer calls and take messages as required.
• Undertake administrative tasks such as collecting and processing cash payments.
• Verify and capture electronic signatures for official purposes.
• Organize and review packing slips for orders.
• Attach relevant documents like packing slips or signatures to corresponding orders.
• Maintain accuracy in orders by reviewing and double-checking them.
• Inform the sales team about important meetings or updates.
• Coordinate customer orders and inquiries effectively.
• Provide assistance to customers in a detail-oriented and friendly manner.
• Support 'Robert Half' by coordinating lunches or other small errands as needed.
• Ensure the coffee station is well-stocked and clean during downtime.
• Maintain an inviting and clean front desk area. Requirements
• Minimum of 1 year experience in a receptionist role, preferably within the construction/contractor industry.
• Proficiency in managing a multi-line phone system and handling high-volume incoming calls.
• Strong customer service skills, with a focus on detail-oriented, friendly communication and a customer-first attitude.
• Experience with data entry tasks, ensuring accuracy and meticulous attention to detail.
• Ability to handle email correspondence, including responding to inquiries and forwarding messages appropriately.
• Excellent interpersonal skills, with the ability to interact effectively with clients, team members, and management.
• Proficiency with Microsoft Office Suite, including Excel, Outlook, and Word.
• Experience with organizing files, both digital and physical, ensuring easy accessibility and efficient retrieval of information.
• Ability to schedule appointments, manage calendars, and coordinate meetings.
• Self-motivated and able to work independently, with strong problem-solving abilities.
