Job Title: Receptionist / Administrative Assistant

Location: Golden Valley, MN - Onsite

Position Summary

The Receptionist / Administrative Assistant represents the organization professionally in all communications with employees, clients, and external contacts. This role is responsible for managing front desk operations, including greeting visitors, answering calls, and handling various administrative tasks to ensure smooth office operations.

Key Responsibilities:

- Answer calls, greet and direct clients to the appropriate staff members, ensuring a positive and professional image.

- Assist contractors and representatives with picking up plans and specifications related to projects.

- File general office correspondence, maintain the address book, and organize the overall office filing system with the Production Operator.

- Complete word processing tasks for memoranda, correspondence, and other documents with same-day turnaround. Copy and bind specifications, addenda, and other documents as needed.

- Sort and distribute incoming mail, manage outgoing mail, and handle UPS and FedEx packaging and deliveries.

- Order and maintain supplies for printers, fax machines, copiers, and other office equipment.

- Work on special projects, including creating charts, letters, and marketing information.

- Maintain a clean and organized workroom, including plan shelves and specifications by project.

- Handle the distribution of plans to project staff and manage project closeout books.

Qualifications:

- Active experience in front office operations.

- Certification in administrative studies from a technical school or a high school diploma with related experience.

- Strong communication, leadership, planning, teamwork, decision-making, judgment, and problem-solving abilities.

- Ability to monitor and direct front office activities to ensure smooth daily operations.

Physical & Mental Requirements:

- Ability to work in a busy office environment, often under pressure with tight deadlines.

- Willingness to work beyond regular business hours, including evenings and weekends, as needed.

- Regular attendance is essential.

- Ability to manage multiple tasks simultaneously and provide reasoning, mathematical, and language skills.
