Receptionist/Administrative Assistant Intern

OST is successful because we listen to our clients, we learn from our clients, and we know our clients.     Receptionist/Administrative Assistant Intern     Description of specific duties in a typical workday for this position:   As a Receptionist/Administrative Assistant Intern, you will play a crucial role in supporting the Chief Executive Officer (CEO) and Chief Financial Officer (CFO) in managing  schedules, facilitating communication, and ensuring efficient operations within the organization. This internship offers an excellent opportunity for recent college graduates to gain hands-on experience in office administration, customer service, and executive support in a dynamic business environment.   Key Responsibilities:   Calendar Management: Assist in scheduling appointments, meetings, and conference calls for the CEO and CFO Coordinate travel arrangements and accommodations as needed Proactively anticipate schedule conflicts and provide timely solutions Presentation Creation: Collaborate with the executive team to create compelling presentations and reports Compile and organize data, charts, and graphs to support presentations Ensure presentations are formatted professionally and delivered on time Customer Service: Serve as the first point of contact for visitors, clients, and stakeholders Greet guests warmly, answer phone calls, and respond to inquiries promptly and courteously Assist with resolving customer issues and directing inquiries to the appropriate department Facility Support: Monitor and maintain the cleanliness and organization of the reception area and common areas Coordinate with facilities management to address any maintenance or repair needs Manage office supplies inventory and place orders as necessary Administrative Support: Provide administrative assistance to the CEO and CFO, including filing, scanning, and data entry Assist with special projects and research assignments as assigned Handle sensitive and confidential information with discretion and professionalism     Position Requirements:   Recent college graduate Excellent organizational skills with the ability to multitask and prioritize tasks effectively Strong attention to detail and accuracy in completing tasks Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management tools Exceptional verbal and written communication skills Customer-focused attitude with a professional demeanor Ability to work independently with minimal supervision and collaborate effectively in a team environment     This is a full-time position paying an hourly rate of $15/hr.
